JOB OVERVIEW

We are a small, but growing international eCommerce Company, that seeks a dynamic, highly organised, energetic Executive Assistant to support Management, by providing innovative, professional solutions, with a desire to demonstrate excellence in all aspects of his/her professional life.

The ideal candidate will be a proactive, and innovative, problem solver with exceptional communication, and organizational skills as well as meticulous attention to detail. This person should have experience working in an office environment, be familiar with, and able to learn, office IT systems, perform administrative duties, bring the latest best practises to the Company, and provide support to management.

Objectives of this role
• Support the Managing Director primarily and provide additional support to executive teaUpgrade to see actual infombers, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently,
• Maintain and refine internal processes that support Management, and coordinate internal and external resources to expedite directives,
• Manage communication with Contractors by liaising with internal and external executives on various projects and tasks,
• Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld,
• Create and document Policies and Standard Operating Procedures,
• Create, design, manage, and undertake minor projects,
• Learn new skills and evolve one’s working style to adapt to a changing work environment, and bring the latest business skills to bear on the Company, while helping to transform it for the better,

Responsibilities
• Manage professional and personal scheduling for the Managing Director, including agendas, mail, email, phone calls, client management, and other company logistics,
• Coordinate complex scheduling and calendar management, as well as content and flow of information to teaUpgrade to see actual infombers,
• Provide administrative and office support, such as research, managing deadlines, identifying inefficiencies, financial calculations, spreadsheet creation & development, and maintenance of Company databases, etc., as well as assist in general Admin work,
• Write media-rich reports for Management on an ad hoc and scheduled basis,
• Participate in daily meetings, and contribute to the efficiency, effectiveness, and completeness of all tasks,
• Maintain and contribute to the Company’s Knowledge Management System,
• Improve the Company’s overall systems, and identify shortcomings,
• Ensure Company Compliance and Controlling goals are met,
• Help implement the Company’s strategic goals,
• Write native-level English content for press releases, promotion, and internal and external publications,
• Carry out ad hoc tasks and minor projects,

Required skills and qualifications
• Two or more years of experience in an administrative role reporting directly to upper management,
• Degree in Marketing or Business (equivalent degree will be considered),
• Excellent written and verbal communication skills,
• Meticulous attention to detail,
• Fluent in written and spoken English,
• Strong time-management skills and an ability to organize and coordinate multiple concurrent projects,
• Proficiency with office productivity tools and an aptitude for learning new software and systems,
• Flexible team player, willing to accept a variety of tasks, adapt to change, and unafraid of challenges,
• Ability to maintain confidentiality of information related to the company and its Contractors,
• Capable of proposing and carrying out innovative solutions to problems,
• Positive personality and outlook,

• eCommerce experience,
• Strong IT skills,
• Flexible schedule,
• Avid reader of professional materials, and up-to-date with the latest best practises in business,
