Job Description:

We are seeking a proactive and detail-oriented person to join our team as an Executive Admin Assistant. As an Executive Admin Assistant, you will be responsible for a variety of tasks ranging from administrative duties to client communication and mortgage processing support. Your primary goal will be to ensure seamless communication between our team, clients, and partners, while also assisting with administrative tasks to enhance efficiency and productivity.


Responsibilities:

Administrative Tasks:
- Manage and send online tickets to Amphitheater Shows.
- Add closings to the calendar and ensure all relevant parties are notified.
- Complete "All About You" forms and follow up via email or text.
- Introduce CPAs, Financial Advisors (FAs), and insurance agents as needed.
- Input and update information in Jungo including leads, realtors, and business partners.
- Confirm consultation calls and other meetings, ensuring client intake forms are completed.

Marketing and Communication:
- Send out newsletter text messages and monitor newsletter performance.
- Assist with obtaining lead credits from Bigger Pockets for bad leads.
- Monitor calendar events for associations and groups we are involved in.
- Monitor Google reviews, solicit feedback, and follow up on reviews.

Personal Assistant Tasks (for Gaetano and Vito):
- Research travel locations and make travel arrangements.
- Book accommodations, flights, dinner reservations, and other appointments.
- Order items online as needed, including groceries and supplements.
- Create and send out event invites on behalf of Gaetano and Vito.

Client Engagement:
- Text agents to inquire about open houses and offer mortgage plans.
- Follow up with clients at the end of the day via text message to ensure satisfaction and address any concerns.

Requirements:
- Proven experience as an admin assistant or relevant administrative role.
- Proficiency in Encompass and other mortgage processing software preferred.
- Excellent communication skills, both written and verbal.
- Strong organizational and time-management abilities.
- Ability to multitask and prioritize tasks effectively.
- Tech-savvy with proficiency in Microsoft Office and Google Suite.
- Ability to work independently with minimal supervision.
