JOB OVERVIEW

Xenon Developers is a reputable construction company dedicated to delivering high-quality residential projects on time and within budget. We are currently seeking a proactive and organized Construction Administrative Assistant to join our team. This role offers an exciting opportunity to support our construction projects through VA administrative tasks and contribute to the overall success of the company.

Responsibilities:
• Reconciliation: Assist in reconciling project-related financial accounts, such as material purchases, subcontractor payments, and project expenses.
• Bookkeeping: Maintain accurate and organized financial records for construction projects, including tracking costs, expenses, and invoices.
• Invoicing: Prepare and distribute invoices/change orders to clients, ensuring accuracy and timeliness in billing for completed work and materials.
• Communication: Respond to emails and phone calls from clients, subcontractors, and vendors in a professional and timely manner, addressing inquiries and providing necessary information.
• Document Management: Organize and maintain project-related documentation, including contracts, permits, change orders, and correspondence.
• Data Entry: Enter project-related data into construction management software or spreadsheets with attention to detail and accuracy.
• Schedule Management: Assist in scheduling meetings, appointments, and project-related activities for the construction team, subcontractors, and clients.
• Administrative Support: Provide general administrative support to the construction team, such as filing paperwork, ordering supplies, and coordinating deliveries.
• Collaboration: Work closely with project managers, site supervisors, and other teaUpgrade to see actual infombers to ensure smooth project operations and communication.
• Compliance: Ensure compliance with company policies, construction regulations, and safety standards in all administrative activities.

Qualifications:
• Associate degree; Bachelors degree in accounting or certification in construction management preferred.
• Previous experience (2 years) in an administrative support role, preferably in the construction industry.
• Familiarity with construction processes, terminology, and documentation.
• Proficiency in Microsoft Office Suite (particularly Excel), quick books and construction management software (e.g., Procore, BuilderTREND).
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication skills.
• Ability to multitask and prioritize tasks in a fast-paced environment.
• Customer service-oriented attitude with the ability to interact professionally with clients, subcontractors, and vendors.
