JOB OVERVIEW

Adventure Life is a leader in small ship cruises and tailor made trips around the world. Based in the United States, we are now hiring a long term independent contractor to assist the finance team with daily, weekly and monthly tasks.

The Finance Assistant will be responsible for:

- Communicating and coordinating with Adventure Life Finance Director and occasionally the CEO
- Managing their own email inbox quickly and efficiently
- Handling the tasks assigned by the Finance Director which include:
- Create deposits for credit card and ACH payments
- Follow up on accounts receivable and overdue client payments with Trip Planners and their Assistants
- Review cancellations and/or rebookings scenarios to ensure data accuracy and process refunds and credits
- Process customer refunds and communicate with staff and/or customers regarding refunds
- Enter office expenses and credits
- Review and pay travel agent commissions
- Review, coordinate and purchase gift cards for customers
- Review reports and reconcile customer and vendor transactions

Additional tasks may include:
- Enter and cross-check supplier bills and issue payments
- Communicate with suppliers to obtain accurate invoices as needed
- Communicate with Trip Planners and their Assistants to troubleshoot or clarify custom rates or special scenarios as needed
- Additional projects as assigned by the Finance Director and/or CEO

A good candidate will will demonstrate the following skills:

- High attention to detail
- Ability to take direction and work independently
- Willingness to ask questions as often as needed
- Take feedback and suggestions well and quickly learn from these
- Be willing to take on new responsibilities as assigned

Former bookkeeping or accounting experience is required.


Expectations:


*Must register as an Independent Contractor with the Bureau of International Revenue in the Philippines.
*Requires a minimum of 20-25 hours per week (4-5 hours daily) during our US office hours, typically M-F 9am to 4pm Mountain Time. More hours (up to 40 hours/week) and some flexibility may be possible for the right candidate after training is complete.
*Required to provide your fast internet access that meets the company’s requirements (min 25 mbps), with possible backup internet highly recommended.
*Required to purchase and maintain your own computer hardware that meets the company’s requirements.
*Must have a quiet workspace in your home.
*Experience with the cloud platforms we use is helpful - GMail, Google Docs, Google Sheets, Quickbooks, Cliq Messenger, Skype.

In general, the ability to work with little guidance and learn new skills independently is vital to success as a Finance Assistant. Excellent English skills are paramount for efficient communication with customers and staff. And of course, the successful candidate must be organized to address multiple daily, weekly and monthly tasks. A typical day involves managing emails, conversing with the finance team and other staff, and completing all duties efficiently and without mistakes.
