Position Overview:

As a Virtual Assistant, you will play a pivotal role in supporting our team by efficiently managing administrative tasks, facilitating communication, and ensuring operational efficiency. This remote position offers the flexibility to work from anywhere while contributing to the success of our organization.

Accountability, Responsibilities and Role

The Virtual Assistant is key to fulfilling the promises we make to our customers. The company’s brand and financial performance rely on proper execution of this role. The areas of accountability are, but are not limited to, as follows:

Customer communication, service and management.
Job organizing.
Payroll and accounts receivable.
Customer and office management.

Incoming Calls and Website Chat:
Screen and qualify all new sales incoming calls and forward onto Estimator.
Take all incoming sales calls for Production Manager.
Respond to live chat on website promptly and courteously.

Job Organization:
Process and record deposit payments.
Input and update company CRM system.

System Recording and Job Cost Cards:
Check daily clock-in and clock-out times of painters.
Check job cost sheets, payments, and GS&R forms.
Update budget sheets for material costs, labour costs, and gross profit.
Update and input data into job cost card sheet.
Maintain and update accurate data in Pipedrive, Company Cam & Vericlock (CRM).
Input weekly sales statistics into GS&R shared document on Google Drive.

Social Media and Website:
Manage Google, Instagram, Facebook, and Twitter accounts.

Payroll, Receipts, Accounts Receivable and Payments:
Input receipts into bookkeeping system.
Input invoices and sub contractors’ payments into supporting accounting system.
Organize in-house and sub contractors’ payments.
Accounts receivables.
Pay bills and invoices.

Other Duties:
Customer relationship management cards.
Organize monthly meeting reports for Production Manager and Job Supervisors.
Assist with staff hiring process.
Assist with the organization of setting up, decorating, taking down, and running home trade shows and exhibitions.
Perform any and all tasks and responsibilities as needed or required by the company.

Qualifications:

•Proven experience as a virtual assistant or in a similar administrative role.
•Excellent communication skills, both written and verbal. Minimum of C2 English Proficiency Level.
•Strong organizational and time-management abilities.
•Proficiency in Microsoft Office Suite and other relevant software.
•Ability to work independently, take initiative and prioritize tasks effectively.
•High level of professionalism and integrity.
