JOB OVERVIEW

Virtual Assistant for Freight Broker (Truckload Customer/Operation)

Job Responsibilities:
1. Customer Support:
? Communicate with customers to address their inquiries, provide updates, and resolve issues.
? Assist in tracking and tracing shipments and providing timely updates to customers.
2. Administrative Tasks:
? Schedule pickup and delivery appointments.
? Handle data entry or creating orders, document management, and filing tasks.
3. Load Management:
? Monitor load boards and identify potential freight opportunities.
? Assist in matching available trucks with freight loads.
? Coordinate with carriers to ensure timely pickup and delivery of loads.
4. Documentation:
? Prepare and review shipping documents such as bills of lading, load confirmation sheets, and delivery receipts.
? Ensure all documentation is accurate and complies with relevant regulations.
5. Communication:
? Maintain regular communication with shippers, receivers and internal team.
? Update customers on the status of shipments and any potential delays.
6. Reporting:
? Generate and distribute regular reports on shipment statuses, costs, and other key metrics.
? Analyze data to identify trends and areas for improvement.
7. Problem-Solving:
? Address and resolve issues related to shipments, such as delays, damages, or discrepancies.
? Provide proactive solutions to prevent recurring problems.
8. System Management:
? Utilize transportation management systems (TMS) and other relevant software to manage operations.
? Maintain accurate and up-to-date records within the system.

Qualifications:
1. Education:
? Associate's or bachelor’s degree in business, logistics, supply chain management, or a related field is preferred.
2. Experience:
? Prior experience in logistics, transportation, or freight brokerage is a MUST.
? Experience in a virtual assistant or administrative support role is a plus.
3. Skills:
? Strong organizational and multitasking abilities.
? Excellent communication skills, both written and verbal.
? Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
? Familiarity with transportation management systems (TMS) and load boards.
4. Attributes:
? High attention to detail and accuracy.
? Ability to work independently and manage time effectively.
? Strong problem-solving skills and a proactive attitude.
? Ability to handle high-pressure situations and tight deadlines.
5. Technical Requirements:
? Reliable internet connection (main and backup internet) and a suitable home office setup.
? Power backup is a MUST to ensure uninterrupted work during power outages.
? Familiarity with remote communication tools such as Microsoft Teams and RingCentral applications.
6. Additional Qualifications:
? Knowledge of freight brokerage regulations and industry standards is beneficial.
? Bilingual abilities can be an advantage, depending on the customer base.
