Job Description: We are a US based natural haircare and skincare brand looking for a dynamic Virtual Assistant to join our growing team. You will play a crucial role in keeping our business running day to day. You’ll be managing customer service communications, engaging with our community on social media platforms, and completing data entry for the business. Must be able to start immediately
Your responsibilities and tasks will include but are not limited to:
Customer Service:
• Handling customer service
• Build sustainable relationships and trust with customer accounts through open and interactive communication.
• Process and handle return requests with Shopify.
• Handle defective or missing packages with Shopify.
Social Media Management:
• Respond to comments, messages, and inquiries from clients and potential customers on
• Manually approving or declining membership requests for our
• Managing and monitoring conversations within the
• Reposting Instagra
• Reach out to influencers and send care packages, and manage our affiliate and influencer network
Data Entry:
• Download weekly product fulfillment invoices and organize fulfillment cost per day in Excel.
• Log customer complaints or criticisms into a Word document
• Create SOPs for any of the business tasks above when instructed
Requirements:
• Minimum of 1 year of experience as a Virtual Assistant, preferably in a general VA role.
• Previous experience in customer service is required
• Experience with using Shopify preferred
• Experience with Microsoft Office (Word, Excel, PowerPoint) preferred
• Experience with communicating in Slack preferred
• Familiarity with
• Excellent written and verbal communication skills in English.
• Exceptional organizational skills with meticulous attention to detail.
• Proven accuracy in data entry and record-keeping.
• Ability to work independently, prioritize tasks, and meet deadlines.
• Reliable high-speed internet connection and access to a backup generator in case of power outages.
• Self-starter attitude and a proactive approach to problem-solving.
• Willingness to go above and beyond to ensure customer satisfaction.
