JOB OVERVIEW

Job Title: Accounting Assistant

Overview:

We are seeking a highly organized and detail-oriented Virtual Assistant to join our accounting firm. The ideal candidate will provide administrative and operational support to our team, assisting in various tasks to ensure the smooth and efficient functioning of our firm. This role requires excellent communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities:

Administrative Support:
Manage email correspondence, responding to inquiries and forwarding messages as appropriate.
Schedule appointments, meetings, and conference calls, coordinating with teaUpgrade to see actual infombers and clients as necessary.
Assist in document preparation, including drafting letters, memos, reports, and presentations.
Maintain organized electronic and physical filing systems, ensuring easy access to important documents and information.
Handle incoming calls, directing inquiries to the appropriate teaUpgrade to see actual infombers and taking messages as needed.
Data Entry and Bookkeeping Assistance:
Input financial data into accounting software and spreadsheets with accuracy and efficiency.
Assist in reconciling bank statements, credit card transactions, and other financial records.
Prepare invoices, purchase orders, and expense reports, ensuring timely and accurate processing.
Assist in maintaining accounts payable and accounts receivable records, following up on outstanding payments as necessary.

Client Support:
Provide excellent customer service to clients, addressing inquiries and resolving issues in a timely and professional manner.
Assist in client onboarding processes, collecting necessary documentation and information for new client accounts.
Maintain client databases and records, updating contact information and relevant details as needed.
Assist in preparing client reports, statements, and other financial documents for review and distribution.
Project Coordination:
Assist in coordinating projects and assignments, tracking deadlines and milestones to ensure timely completion.
Collaborate with teaUpgrade to see actual infombers to allocate resources and prioritize tasks based on project requirements.
Monitor project progress, identifying potential risks or delays and communicating updates to relevant stakeholders.
Assist in preparing project documentation, including meeting agendas, progress reports, and status updates.

Qualifications:
Proven experience as a virtual assistant, administrative assistant, or similar role.
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and accounting software (e.g., QuickBooks).
Strong organizational skills and the ability to prioritize tasks effectively.
Excellent communication skills, both written and verbal.
Attention to detail and accuracy in data entry and record-keeping.
Ability to work independently and collaboratively in a team environment.
Knowledge of basic accounting principles and procedures is preferred but not required.
Bachelor's degree in business administration, accounting, or a related field is preferred.

Location: Remote

Hours: 20 hours per week
