Role: Assistant to the COO

Job description:
The role of an Assistant to the COO is to provide administrative support to the Chief Operating Officer (COO) of an organization. The assistant will primarily be responsible for the following tasks but are not limited to:
-Organizing and scheduling meetings: This includes preparing meeting agendas, taking minutes, and ensuring all participants are informed of the meeting details.

-Project Management Support: Assist in the execution and monitoring of strategic projects and initiatives. Collaborate with project teams to track progress, milestones, and deadlines.
-Online Research: Collect and analyze data to support decision-making processes. Summarize research findings to provide relevant insights and SOP
-Vendor and Partner Sourcing: Assist in initiating contact, gathering information, and evaluating vendor/partner proposals. Facilitate an effective communication by organizing and scheduling meetings with the vendors/partner on behalf of the COO.
-Assisting with bookkeeping tasks: This includes tasks such as data entry, account reconciliation, financial record keeping, invoice issuance, and managing payables. The assistant may also help develop new systems or procedures to improve efficiency.
Requirements:
-Bachelor's degree in business administration or a relevant field preferred
-Proven experience in providing administrative and accounting support, preferably to senior executives
-Proficiency in Xero Software, MS Office or Google Suite
-Strong organizational and time management skills
-Excellent written and verbal communication skills
-Ability to handle multiple tasks and prioritize effectively
-Discretion and confidentiality in handling sensitive information
