JOB OVERVIEW

Join a creative team, our photography STUDIO is looking for an admin and office management personnel. This is an opportunity to work in a creative environment with a highly-rated studio in NYC. Looking for an energetic, friendly, college-educated person with experience in office admin and VA. Must be a team player. You need to be punctual, organized, and extremely thorough.


You will be doing various tasks, almost all of which I will create tutorials for you.


Some things I have in mind for you to do in the immediate future is Project management and logistics. Involved with the implementation and tracking of orders. Manage the schedule of photoshoots and studio rentals.


POSITION 1: ADMIN VIRTUAL ASSISTANT PROJECT MANAGER
- Customer relationship management through CRM System
- Answering emails
- Answering text
- Organise workflow through our online gallery and CRM system
- Navigate CMS Client Management System
- Send photos to retouchers and back to clients
- Create SOPs, workflows, and process improvement
- Track and Manage different projects and ensure to complete on time with high-quality standard
- Conduct market research
- Create writings for emails, posts, presentation
- Schedule appointments
- Conduct timely follow-ups with teams and point persons to ensure the completion of tasks and hitting the deadline
- Provide feedback and process improvements
- Create detailed reports and evaluation reports
- Assist new employee onboarding
- Assist with administrative tasks such as calendar management, copy editing, proofreading, online researching, email management, transcription, travel coordination, data entry, and photo and video editing.

- Assist with firm billing, invoicing, and accounts payable management


Education/Skills: Proficient in writing and speaking English, Bachelor's Degree. High proficiency in Asana, Client Management Systems through CMS, Customer relationship management through CRM Systems, Google Workspace, Basic video editing to create Create SOPs videos, Accuracy, punctuality, and organizational skills, Accuracy, punctuality, organizational skills, Detail Oriented, Tech-savvy




I am looking for someone with exceptional written and communication skills, keen on details. Accuracy, punctuality, and organizational skills are valued assets. The right candidate must be tech-savvy and know how to use Google Workspace and Microsoft Office. It is essential to know how to work independently and to possess a work ethic and integrity. I appreciate it when my co-workers are keen on details, efficiently manage their time, and I ensure to finish tasks on time.
Diligence and reliability will assure you keep that position for as long as you wish.


Qualifications:
- Previous experience as a virtual assistant or in a similar role is preferred.
- Familiarity with the photography industry is a plus.
- Comfortable with continuous Zoom calls throughout the workday.
- Ability to adapt to a fast-paced work environment.
