Job Title: Virtual Assistant (HR Assistant and Financial Controller Assistant)

Job Description:

Position: Virtual Assistant; HR Assistant and Financial Controller Assistant
Location: Remote
Salary: $8 per hour (Full-time)

Responsibilities:

Payment Collection:

-Collect payments according to the company's payment schedule within our software system.
-Contact clients in a professional manner to follow up and collect outstanding payments.
-Record all payment transactions accurately and efficiently.
-Bookkeeping and Financial Management:
-Record transactions that occur through the company's bank account.
-Track credit card financials and reconcile them with the company's records.
-Perform basic bookkeeping tasks to maintain accurate financial records.
-Entry of financial data into QuickBooks for further analysis and reporting.

Staffing and HR Support:
-Utilize staffing software for scheduling and managing employee shifts.
-Assist with new hire intakes and onboarding documentation.
-Monitor labour costs, and sign-in accuracy with team and labour KPIs accountability.
-Familiarity with ADP payroll software for payroll processing and management.

Software Proficiency:
-Possess knowledge of CaterEase software for catering and event management.
-Familiarity with Nowsta software for workforce management and scheduling.

Communication and Reporting:
-Maintain proficient English communication skills, especially in email correspondence.
-Work closely with the Controller to find efficient ways to manage and track team KPIs (Key Performance Indicators) in labor and financial reporting.
-Provide regular updates and reports on financial transactions and team performance.

Additional Expectations:

Pacific Time Availability:
-The virtual assistant must be available during Pacific Time business hours for effective communication and coordination with the team.
