The Role

We are looking for a suitable candidate to join the Arinite Team for 3 days per week, working in an administrative role.

The appropriate applicant will offer support to different aspects of the business and will need to show an exceptional command of English grammar , attention to detail and in-depth knowledge of Microsoft Office packages including Word and Excel. Previous relevant work experience will need to be demonstrated.

The role would be for 3 full days per week (24 hours per week), and offers flexibility if work is completed, standards are adhered to, and deadlines achieved.

The successful applicant will work remotely.

Key Responsibilities

The role will include tasks such as:

• Create, file and forward training certificates to clients following Health and Safety Training courses.
• Assist with the organisation of Dropbox to include saving client documents and emails in appropriate locations and setting up folders for our Dropbox filing structure.
• Populate and issue templates to our consultants within agreed timescales.
• Monitor progress of the workflow using the tracking application and processes we have developed, sending and diarising reminders as necessary.
• Provide ad-hoc support to the Operations Director and Project Manager, including consultants, and the Administration Team.
• Participate in weekly online meetings with our Administration Team.
• Assist in managing the Quality Control process by reviewing reports which are sent to our clients. To be completed within agreed time schedules, with consistency and an excellent eye for detail and grammar.
• Monitor email inboxes and file emails accordingly.
• Input and update details on the internal client and works trackers for new and existing business.
• Monitor reports that have ‘High’ or ‘Urgent’ actions to ensure clients have been made aware of these in advance.

Skills and Experience

The ideal applicant should have the following essential skills:

• Excellent written and spoken English, including English Grammar. Knowledge of other languages, while not required for the role, would be beneficial.
• Proficient in Microsoft Office suite including Outlook, Excel, Word, and PowerPoint is a must. A proven level of competency in Word and Excel, ideally to advanced level.
• Proven experience in a similar position.
• Knowledge of Dropbox, Adobe, and Smartsheet whilst not essential would be an advantage.
• Excellent attention to detail and ability to adhere to Arinite’s high standards and follow procedures and processes.
• Ability to multitask effectively and adapt to changing priorities.
• Capable of working in a fast paced environment whilst maintaining accuracy and quality.
• Desire to improve and learn new applications.
• Great organisation, ability to work independently as well as part of a team, diary management and good communication skills at all levels.

Package to be negotiated and will be dependent on the hours worked and experience. You may wish to provide preferred working hours.
