Job Title: Administrative Assistant - Transitions
Job Summary: Z3 is seeking a remote Administrative Assistant to help maintain records and optimize the organization of electronic files, and assist the Property Management team with property and tenant onboarding and transition tasks.
Direct Report: Transition Coordinator
Responsibilities and Expectations
-Work Hours Expected 9AM – 5PM Monday through Friday
KEY RESPONSIBILITIES:
-Collection of property-related documents and client files.
-Maintenance of clean and accurate records.
-Assistance with data entry, record-keeping, and filing.
-Saving electronic files to the correct folders, moving files from incorrect folders to correct folders, ensuring file nomenclature is adhered to, and renaming the files where necessary,
-Updating of contact records.
-Creation of documents using provided templates.
-Handling of sensitive information in a confidential manner.
-Setting up and activating utility accounts
-Update password database
QUALIFICATIONS:
-Strong attention to detail and accuracy in performing tasks.
-Ability to work independently with minimal supervision.
-Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
-Proficient in using office software and equipment, including MS Office (Word, Excel, and SharePoint / OneDrive).
-Strong verbal and written communication skills, with a friendly and professional demeanor.
