Solid, growing, and lively/fun USA CPA firm. We have been in the business for over 19 years, and are ranked Top 1% of Tax Strategists in the USA. We are a progressive, 100% digital CPA Firm, so cloud computing and basic tech skills are required!



POSITION: Full-time Executive Assistant ( Minimum of 40 hours/week )

MUST HAVES:

• MINIMUM years of experience with the USA: 2 YEARS EXPERIENCE: CEO assistant experience
• preferred if worked for at least 3 previous employers in this role - "A" type personalities
• Fluent communication skills both written and verbal
• gatekeeper to owners time, schedule -
• confident
• HIGH detail
• VERY punctual
• Obsessive re: how "we" look to outside parties (the company and the owner)
• to the point - direct, succinct
• problem solver - ALWAYS have an option/solution
• thinks ahead (see problems coming down the road and points them out)
• NOT a yes man - brings up issues for discussion
• self-starter
• great FUP skills, attentive to the needs of our customers
• ability to exercise good judgment / common sense & make the decisions they are authorized to
• protect the firm and owner as first priority
• creating win-win solutions for clients, the firm, me, etc.
• be curious, always asking questions to learn more
• GREAT rapport with clients, vendors, prospects - be the person everyone wants to hear from


MUST NOT HAVE:
• no excuses, get it done or not - do or do not, there is no try
• if Owners has to chase you for anything - you will be fired.
• whining


JOB DUTIES ESTIMATED:
• handle emails (need to learn, reply, and leave inbox with ONLY what they cannot handle)
• manage personal needs (scheduling, family, organization of vendors, etc.)
• customer service
• assist in research (for the firm, for the owner, for our team)
• coordinate with our team to ensure things are "done" as needed (events, tasks, projects, etc.)
• they are a point of contact for communications (emails to start, maybe more later)
• preparing agendas, taking meeting notes, transcriptions, etc.
• fixing everything (solve all problems great & small)
• assist with office morale/growth/improvement - bring ideas & implement them with the help of the team
• fill in for owner in low-value meetings (vendors, etc.)


This position is the assistant to the owner of a global accounting and tax strategy firm. There will be on-the-job training and you will effectively shadow the owner to learn as much as possible so that you can take over as much as possible. You were expected to learn quickly and ask questions early on to learn as much as possible to be able to handle the work.

Working hours:
Our US business hours overlap ( 8:00 am to 12:00 noon Arizona time, the rest of the hours can be flexible )
Hours for some departments may vary depending on the tasks involved.
Working additional hours and some weekends during tax season will be required
You are required to be online & very active while you are on the clock.
We need someone who is available for on-call emergencies (outside of normal working hours).

Internet: 8mb Fiber or Higher
Recommended OS: Windows 10 or 11 Pro Activated fully
Headset with noise cancelation
Private Home-office Location
