JOB OVERVIEW


We are looking for a fun, fashion loving social media who loves interacting with people online and spread the love of vintage fashion!

Our administrative VA will be working mainly on back office tasks, making sure our business runs smoothly. Some marketing and customer service work may be required. Email marketing with Omnisend, Postscript SMS, Social Media Marketing, Content Creation with Canva, Trello and Slack knowledge. Professional letters, answering emails, email support, customer support, some planning. Our business is an online retailer medical scrub business. We are a US based company looking for a part-time and as needed customer Upgrade to see actual infotailed responsibilities:

Administrative Support:
-Send a daily report through email, detailing completed
and ongoing tasks.
-Monitor project timelines, milestones, and deliverables.
-Make sure appointments are up to date, reminders are sent, and Confirm appointments as needed
-Update list of contacts and organize them according to the right categories
-Handle email correspondence, respond to customer questions via email and live chat as needed
-Schedule, book and confirm travel and accommodations as needed
-Manage and oversee social media content on FB, IG, LinkedIn
-Social Marketing campaign, Email Marketing, SMS Marketing
-Follow communication “scripts” when handling different topics
-Identify customers’ needs, clarify information, research every issue and provide solutions and/or alternatives
-Organize and maintain files and documents, assist in preparing project documentation, reports, and presentations.
-Collaborate with teaUpgrade to see actual infombers and provide support on various projects and assignments.
-Perform general administrative tasks
-Assist in preparing and distributing internal communications or announcements via Trello
-Uphold confidentiality and handle sensitive information with discretion.
-Maintain documentation management: Create, format, proofread, and edit documents, reports, presentations, and spreadsheets.
- Organize and maintain physical and digital files, ensuring proper naming conventions and categorization.


Email
Marketing Support:

- Proficiency in email marketing platforms (Omnisend ).
- Experience in creating and designing email campaigns, newsletters, and automated workflows.
- Ability to manage subscriber lists, segment audiences, and conduct A/B testing.
- Familiarity with email marketing best practices, including deliverability, open rates, and click-through rates.
- Strong writing and copyediting skills for crafting engaging email content.
- Knowledge of HTML and CSS for customizing email templates
- Understanding of email analytics and reporting to assess campaign performance.
-Postscript for SMS marketing

Social Media Marketing Support:

- Expertise in social media platforms such as Facebook, Twitter, Instagram, LinkedIn, and others
- Ability to develop and implement social media strategies and campaigns.
- Proficiency in content creation, including writing engaging social media posts and creating visual assets.
- Experience in managing social media accounts, understanding of content planning and scheduling posts, and monitoring engagement.
- Familiarity with social media management tools like Buffer
-Content Creation and Copywriting
- Strong writing and editing skills for creating compelling and persuasive content.
- Experience in using analytics tools like Google Analytics or social media analytics dashboards.
- Strong attention to detail and ability
- Proficiency in graphic design tools like Adobe Photoshop, Canva, - Ability to create visually appealing social media graphics, banners, or promotional images.
- Understanding of design principles, color schemes, and typography, and brand colors, logo

Previous experience as an administrative assistant or virtual assistant.
To qualify for the position, you will need at least 1 year experience in the following:

-Email marketing with Omnisend skills
-Postscript SMS skills
-Reliable internet connection and a dedicated workspace.
-Familiarity with project management and collaboration tools is a plus

This is a Part-time
Hourly rate
12 hrs max time per week
Mondays for Fridays
Time-
There will be a 3 month probation period
We honor most Filipino holidays except for All Saints and All Souls Day
