B. ABOUT THE ROLE
Our Ideal Candidate
You are a highly-organized and detail-oriented professional who excels in handling administrative responsibilities such as calendar, task and email management, call handling, database management, and document preparation. You take pride in your attention to detail and your ability to identify any foreseeable issues and propose viable solutions. You are a confident and excellent communicator who is not afraid to ask questions, share ideas and express suggestions for the continued success of the organization.

Expected Work Hours and Timezone
You are expected to work during US business hours following the Property Manager’s schedule. You are also expected to work on occasional weekends when there is a time sensitive matter.

As a General Virtual Assistant, you will provide excellence by:
Performing an array of administrative tasks from answering email correspondence, answering calls from vendors and tenants, scheduling appointments, following up on the status of work orders, updating meeting agendas, and taking notes during meetings

Acting as a point of contact and filter between tenants, supers, and vendors

Opening and closing work orders, following up to ensure they are completed

Helping improve current processes through the creation of SOPs and process documentation for increased efficiency throughout the organization.

Data entry into Google Spreadsheets and software from leases

Assist with screening tenants and draft lease from template for approval

Managing multiple projects and tasks across programs and functions and keeping communication lines open to address roadblocks and challenges real time.

Updating a weekly to do list and following up to ensure tasks are complete

Monitor compliance issues and work with the property manager to resolve

Performing additional tasks as may be assigned that could cover various functions like researching new vendors, checking leases for accuracy.



Requirements
At least 5 years of experience as a Property Manager, Real Estate GVA/CS, or similar role for US account
Must have a neutral accent

Proven experience organizing and directing multiple projects and tasks.

Experience using several web-based project management tools such as Asana, Slack

Experience with Yardi, RentCafe, On-Site, Canopy desired but not required

Experience with word-processing software, spreadsheets, and CRMs

Knowledge of online calendars and scheduling.

Excellent phone, email, and instant messaging communication skills.
