About this Role
The role of the HR Administrator/ Executive Assistant is to support the business by ensuring that all HR and administrative duties are done systematically. Processing employee data, updating company policies and assisting with the hiring process are some of the responsibilities. Excellent organizational skills and familiarity in HR functions are necessary to be successful in this Upgrade to see actual infopetencies and Qualifications:

• Excellent time management and organisation skills
• Familiarity with Microsoft Teams for team collaboration
• A high level of maturity and the ability to communicate with a diverse range of people
• Advanced technical skills including MS Office (Word, Excel, PowerPoint, Outlook, Office365)
• Superior attention to detail and accuracy
• Strong critical thinking skills
• Proactive and flexible; can effectively deal with changing priorities
• Can problem solve, gather and analyse relevant information and make sound recommendations
• Assessing and evaluating skills including identifying potential job needs, workplace market trends etc.
• Demonstrated ability to provide high quality customer service, including showing patience towards slower learning employees, persistence in caring and follow-up, passionate in motivating peers

• Recruitment:
o Handle end-to-end recruitment including but not limited to creating and managing job advertisements, liaise with recruitment partner if necessary, conduct phone screenings and initial interview, organize final interviews and presentations, do reference checks
o Do proper coordination with applicants and hiring manager when necessary, including conducting follow-ups
o Prepare letter of employment - issue job offer and contract under the correct department
• Preparing for employment:
o Send all induction details/credentials to new employee and file in SharePoint
o Initiate activation of different accounts for the employee in accordance with onboarding process.
o Schedule onboarding session with hiring manager
• Maintaining records
o Check HR mailbox daily and file correspondence to appropriate folders
o Check if documents comply with internal policies and procedures
• Exit employees
o Conduct checklist for existing employees to facilitate the manager
o Provide manager access to relevant documents
o Conduct exit interview and provide feedback to direct manager, BOM and GM
• Take thorough and accurate meeting minutes
• Lead employee engagement activities
• Provide general administrative support across the organisation
• Submitting attendance reports to payroll & completing attendance processes
• Responding to general enquiries from management and employees regarding HR policies, vacation entitlement, absences, salaries, start dates
• Will report directly to BOM and GM
• Other duties as assigned

To be Successful in this Role You Will Need:
• Knowledge of Human Resources and general ideas/processes
• Must have HR-related experience/background or direct work experience in an administrative capacity
• Above average English communication skills (both written and verbal)
• Previous experience in handling confidential and sensitive information
• Experience in an international organisation an advantage
