JOB OVERVIEW

As a partner for the CEO, this role is critical and you will need a proactive, can-do attitude and the ability to think outside the box to find Upgrade to see actual info this role, you will clear bottlenecks and improve the CEO's velocity by tracking her commitments, structuring her time around the most important priorities, and ensuring fast follow-through on her responsibilities and commitments.

Duties and Responsibilities
Expertly maintain and update the CEO's calendar based on preferences and ensure all meetings are set up for success (accurate locations, contact details, notes, resources, links, etc).
Track action items in meetings and execute as applicable.
Manage emails for the CEO and indicate the priority of emails in the inbox. Drafting emails replies on behalf of the CEO as needed.
Consistently stay up to date on task management and communicate effectively regarding what is most important.
Execute tasks that have been delegated to you by the CEO.
Attend and organize meetings while making sure the CEO is well-prepared & that all notes/action items are taken/distributed quickly
Serve as the gatekeeper to the CEO, handling all information requests.
Help manage and grow business relationships by proactively identifying and executing opportunities to reconnect with various contacts and clients.
Assist in the completion of various forms, notices, press releases and other communications, which may require posting and/or publication.
Perform various research related to CEO's work and important personal projects & priorities.
Find new ways of doing things, streamlining processes, making recommendations that will allow for increased Upgrade to see actual infoanize trips including appointments, travel, and other scheduling as needed.
Maintain a high level of integrity and discretion in handling confidential information.


Results and Expectations
All appointments, meetings, and events are scheduled promptly and reminders are set.
All employee and business-critical documents are saved and filed properly.
All travel is correctly booked and scheduled into the calendar.
All interactions not needing the CEO directly are screened and handled based on priority, reaching out to other leaders and staff as needed.
Vital business and important personal appointments are prescheduled.
All meetings are prepared for and documented at least 2 days in advance.
All meetings are attended with recap notes issued to all applicable employees by EOD.
All events are planned, coordinated, and managed.
Leaders do not have to 'search' or ask for answers, you find and deliver the answers to them.
The CEO is immediately looped in on conversations they should be aware of (if not already).

Qualifications
2+ years in C-level assistance or similar role
Candidate MUST possess a MASTERS DEGREE in BUSINESS ADMINISTRATION
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly
Expert level in both written and verbal communication skills
Excellent attention to detail and highly organized
Powerful interpersonal skills and the ability to build relationships with stakeholders, leaders, including staff, and external partners
Demonstrated proactive approaches to problem-solving with strong decision-making capability
Trustworthy and ability to work independently
Resilient with a can-do attitude
Proficient with Google Suite, Slack, ZOHO, Microsoft office, Calendly, Trello
