JOB OVERVIEW

We are looking for a Client Administrative Assistant to be based remotely (work-from-home) in Philippines, for our accounting firm in Singapore. Applicants need not have knowledge of accounting or bookkeeping concepts.

What you will do:
Provide administrative assistance to a team of 4 Client Managers, assisting them with:
• Invoicing our customers for variable work completed (e.g. number of payroll processed, number of expense reports processed, number of batch payments completed)
• Drafting of annual renewal contracts for approval
• Drafting of new contracts for approval
• Taking minutes for weekly production and sales meetings
• Sending of Statement of Accounts to customers to chase for payment
• Onboarding of new customers, requesting for standard documents for customer due diligence, guiding them with CorpPass authorisations
• Input of recurring jobs, input of budget and time, ensure jobs are scheduled properly
• Update of master database of customers and proper tagging
• Daily liaison for corporate secretarial work, following up for signatures
• Assistance with incorporation of new companies, gathering required information from customers
• Sending Financial Statements and Tax Computations for e-signing, following up for signatures
• Uploading of signed Financial Statements and Tax Computations into Xero Workpapers module and archiving workpapers
• Maintenance of Xero Workpapers module
• Uploading of signed Financial Statements to portal for Annual General Meeting, following up for signatures
• Sending of new Business Profiles to customers after Annual Return is filed
• Monthly checking of tax agent inbox and sending tax notices to customers to remind them to make payment
• Sending of customer satisfaction surveys to clients
Provide executive assistance to 2 Co-Founders, assisting them with:
• Checking of sales invoices and making sure all work and government¬ fees paid on behalf of customers are invoiced
• Ensure correct tagging of sales invoices to Client Managers
• Update Management Dashboard with data from various systems
• CorpPass authorisations: Adding customers into Client e-service groups for Tax, GST and IR8A IR21, assigning CPF EZ-Pay authorisations individually to CorpPass employees, monitoring expiry dates of CorpPass authorisations and informing customers to refresh dates
• Maintenance of prospect email list

What you will need:
• Strong interpersonal, communication skills and a strong command of the English language
• Meticulous attention to detail and desire to learn new solutions
• Ability to work efficiently and independently while maintaining a positive and friendly attitude to customers and colleagues
• Training on software and integrated apps will be provided.
