Who are we looking for?:
The Transaction Coordinator is an individual who is detail-oriented, draws energy from working with other people, and is organized. They have a strong sense of urgency, but not at the expense of Upgrade to see actual info addition, they demonstrate on a daily basis the knowledge, attitudes, skills, and habits of a high achiever who is committed to putting clients first, doing the right thing, and seeking win-win agreements. The Transaction Coordinator must be adaptable to change and be solutions-oriented. They will handle administrative tasks for the listing-to-contract-to-close process, working seamlessly with the Listing Coordinator. Working efficiently and effectively, they will ensure all transactions are listed and close on time, with little or no hassle to clients and third parties. This individual must provide exceptional customer service, being proactive and communicative.

What will you do?:
These are the standards a well-above-average performer will maintain or exceed:
-Provide exceptional communication throughout the entire listing-to-contract-to-close process.
-Independently complete tasks in a timely manner. Rigorous followup to gather needed info.
-Be accessible from 9 to 5 PM Pacific M-F. Work weekends as Upgrade to see actual infosential duties and responsibilities:
-Help Listing Coordinator to effectively manage the administrative tasks involved in the listing and closing of a sale
-Create timelines and follow up with individuals as needed to ensure all deadlines are met and contingencies are released
-Maintain accurate and compliant files for all transactions
-Understand the contracts in order to summarize all important terms, conditions, and contingency dates with agent and clients
-Communicate throughout the transaction including all important dates, missing documents, calendar reminders, file compliance status, etc.
-Review inspection findings and prepare a summary of issues identified in the reports.
-Draft purchase sale agreements, disclosures, and any addenda needed along the way and keep a record of them on file and ensure they are shared with relevant parties
-Stay in good communication with the agent if any issues arise that they need to handle or negotiate
-Coordinate closing date, time, and location and notify all parties
-Obtain seller / buyer closing statements and review for accuracy and completeness
-Put together the closing file for the agent including any documents needing signatures/initials/dates, commission amount for the check to bring back, and any other documents needed from closing
-Close out the file after the closing including changing the MLS status to closed for our listings, double-checking the file, and ensuring Command Opportunity is fully complete.
-Maintain documentation of the systems as it relates to transaction coordination, including Asana, operations manual, checklists, Upgrade to see actual infomunications/Interactions:
-Lead Agent – daily
-Operations Team – daily
-Buyers/Sellers/Vendors – daily

-Excellent at building rapport
-Strong written and verbal communication skills
-Good organizational skills and strong attention to detail
-Willing to learn scripts and dialogues
-High school graduate
