Intake Specialist
Our rapidly-growing law practice is seeking a full-time intake specialist to join our team! You’ll survey prospective clients and empathize with them on the details of their case, manage new client onboarding and data entry, and help our lawyers book and manage their appointments. We’ll provide the training and resources to help you flourish in your role on a tight-knit, supportive, and passionate legal team. Intake Specialist Responsibilities
Evaluate prospective client inquiries and phone calls, analyzing their case fit and making sure they feel seen and heard
Set appointments for potential clients that meet our criteria to keep our attorneys’ schedules organized and grow our caseload
Supervise new client onboarding and current client files through data entry and paperwork collection to ensure our cases are managed efficiently
Work with marketing to collaborate on outbound sales tactics and partnerships with other law firms in order to help bring in new cases
Monitor and follow through with marketing team
Ads - Ensuring that we have campaigns on google and Facebook dedicated to reaching the target audience - outsourced (Will this contract have a specific number of Ads within a time period?
Managing Social Media Channels and Website

, Instagram, Twitter, LinkedIn and YouTube
Post weekly on social media platforms for the most outreach as possible.
Creating a post schedule for each month
Ensuring that our website is optimized as much as possible.
Ensuring that people can contact us via the website and communicate with us
Posting videos on YouTube and Facebook
Obtain 10 reviews total (between Facebook and google) a month for the law firm.
Perform miscellaneous clerical tasks as needed, including transcription, research, spreadsheet management, and email writing to ensure operational efficiency
Ensuring that all the pieces of the sales division are working effectively in driving business to us in line with our vision
Leads and Reviews - Client Intake
Initial calls are taken by the VOIP service provider then transferred to the office
Answer the phone
Contact all leads daily
Call/text for reviews daily
Completing a brief follow-up until the attorney can call
Sending the client videos to help in the interim.
Ensure that client onboarding procedure is complete on each new case
Follow-up with leads after intake
Follow-up with clients via day of intake-
Complete Client onboarding
Ensuring that they have all the necessary information

Legal Intake Specialist Qualifications
High school diploma or equivalent required; Bachelor’s degree preferred
Previous customer service or sales experience preferred
Possesses outstanding communication skills and sense of empathy
CRM and case management software experience a plus
Proficiency with Microsoft Office products, especially Microsoft Excel, Google Suite, Slack, MyCase, Asana
Solid data entry, spreadsheet management, and computer skills
Previous legal experience a plus
Be reliable
Have excellent communication skills, be proficient in English (speaking and writing).
Be organized.
Have an upbeat personality
Must be available to work from 9am to 6pm US hours
