JOB OVERVIEW

Envision Wellness is seeking a Client Care Coordinator with excellent customer service skills. This position serves a crucial role at EWCo as it’s responsible for ensuring that callers are appropriately matched with the appropriate service and best fitting provider.

We’re a growing boutique private practice located in the heart of Upgrade to see actual infoom our tastefully designed offices, we offer high-quality, private-pay psychotherapy and psychological evaluations to a wide range of populations in Miami and throughout Florida. We are a fun, dynamic, and collaborative team that values working collaboratively and helping improve the health and wellness of our communities.

Duties & Responsibilities/Essential Functions
• Immediately contact every potential client & establish rapport with them
• Conduct potential new client consultations with genuine empathy and compassion
• Take accurate notes during the client initial consultation
• Accurately match potential clients with the appropriate service and best fitting clinician
• Manage all other inquiries (i.e. respond to phone, emails, and texts; scheduling appointments; answer general practice-related questions; coordinating pick-ups)
• Continuously follow up with pending inquiries
• Entering and scanning data/information into the scheduling system
• Coordinate with clinicians on filling their schedules
• Charging client payments
• Verifying new clients complete documents promptly and sending appointment reminders
• Provide metrics to the Clinical Director on call tracking stats
• Ability to identify areas for improvement in the client intake process and initiate the improvement measures
• Other duties as may be assigned as needed
Required Qualifications
• Spoken and written proficiency in English and Spanish is required
• Excellent customer service and interpersonal skills
• Comfortable talking with new people about sensitive issues
• Excellent multitasking, time management, and task prioritization skills
• Highly organized with attention to detail
• Confidence to work independently and collaboratively with other teaUpgrade to see actual infombers
• Openness to constructive, straight-forward feedback
• Resourceful and proactive (i.e. ability to think on your feet and problem-solve without explicit guidance)
• Highly punctual and dependable reporting to work
• Professional attitude and appearance
• Previous experience in a mental health practice Highly Preferred
• “Tech-savvy” (e.g. using Google Workspace programs and learning new programs and tools quickly)
What You’ll Earn & When You’ll Work
This is a full-time position requiring 40 hours of work per week, Monday-Friday, 9 am to 6 pm. (EST USA)
