Our company is searching for an Executive Assistant who can assist the Director (and other team members) in day to day tasks, ongoing projects and help improve overall productivity. The ideal candidate for this position is a self-starter who can work well in a fast-paced environment.
AREAS OF FOCUS
Email filtering, organization and replies as per ‘Reaction Rules’ of Director Inbox
• Managing Calendar personal & work for Director (booking, rescheduling, recurring events, etc.)
• Supporting Director in personal tasks and/or delegating to another support team member in our office
• Creating and building up your role’s Educational Resource in (overtime document all task processes in here so if somebody else where to come and take over in parts you could mentor them with this, doubles to serve as a reference tool for you)
• Constantly looking and improving process efficiency’s where costs are minimal
• Play a critical role on the team in ensuring deliverables by self and others are always met on time and with accuracy by responding to employee inquiries to ensure objectives are met per instructions
• Hiring and managing communication on different roles online

Primary Duties and Responsibilities
Business Operations Support
• Maintain all digital records for ongoing executive projects, needs in the cloud
Emailing Marketing client/CRM Database Management (Campaigner & Infusionsoft. Migrate to Infusionsoft eventually and entirely)
• Constant following up with necessary points of contacts
• Ability to Problem Solve, develop alternative actionable solutions when information is provided or self-attainable
• Strong sense of responsibility and ability to complete tasks with minimal supervision (initial training and support is always provided)
• Impeccable written and oral communications skills

Proficiency in the use of computer programs for:
• Word processing
• One Note and One Drive or experience with similar cloud applications
• Excel Spreadsheets
• Outlook E-mail
• Internet
• QuickBooks, Asana, Infusion Soft, Fish Bowl (is a plus)

Office hours are generally 9-5:30pm EST; however, these could extend during our busy season and support/accessibility outside office hours required to support the Director from time to time. Projects may require additional time commitments. This role will evolve, and the focuses may change as the company continues to grow. This role is to be available from 8:30am EST onward

The start up began in the founder’s mother’s basement, and slowly grew over the years moving 3 times due to outgrowing spatial requirements. We are approx. 16+team members strong and looking to grow our team past 20 by year end.
