Virtual Assistant Co-ordinator (Amazon)
Background
P.I. Stores was founded 4 years ago. Its primary operations are selling products on the Amazon platform to the USA and Europe.
This year P.I. Stores have started a new business using the Amazon Buy-Box model, which involves buying branded products from Distributers in the USA and selling them on Amazon.com. The process involves the following key steps
1. Finding distributers using internet searching
2. Communicating with the distributers to obtain their product data
3. Using the data to determine which products to buy
4. Buying and shipping the products to Amazon
5. Setting up products in Amazon and other software
6. Re-ordering products
The growth plan is aggressive this year. The business operates on a repeated cycle, which is controlled by the process. Each stage of the process contains tasks that will be outsourced to Virtual Assistants, which we expect to grow into a team of 8 assistants by the end of 2018.
Job Details
Position Virtual Assistant Co-ordinator
Reporting to Directors (Dave Storey & David Cooke)
Purpose / Role
You will be responsible for the co-ordination of a team of VAs and also work within certain areas of the process to ensure the cycle flows at the right pace to meet the business targets.
Key Aims and Objectives
• To communicate effectively with the VA team and Directors in the business
• To ensure that the VA team adhere to the business process
• Be responsible for the performance of the VA team
Role and Duties
• Learn the process quickly from the Directors, training materials and by working in each area
• Work on key areas of the business where VAs are either not trained OR not yet available
• Help with the recruitment of VAs
• Training of new VAs on the process steps
• Set targets with the VAs and monitor their progress
• Provide assistance to the VAs
• Provide a weekly progress report to the Directors which is focussed on targets set by the directors
• Work with the Directors to continuously improve the process
• Solve problems in the business
• Complete other tasks as set by the Directors
Essential Requirements
This is a key role in the business and a high level or performance is expected. The successful applicant will become critical to the success of the business.
• High level of commitment, enthusiasm and drive
• Previous team management experience
• Excellent communication skills (in English)
• Good punctuation, spelling, and grammar skills.
• Highly IT literate
• Experienced in Amazon selling platform and management in seller central. Especially, Inventory Management and Shipping Plans
• Experience in dealing with distributers / suppliers to source products
• Experienced in using Microsoft Excel, Google Sheets
• Positive attitude and determination to succeed
• Proactive approach to work, always looking to make improvements to processes
• Excellent organizational skills.
• Must have good internet connection stability and speed
Desirable Requirements
• Ability to document processes
• Degree qualified in a relevant area
• Basic knowledge of business procedures and strategies
• Knowledge of budgeting, accounting, time management
Working Hours
This is a full time position. Working hours will be 40 hours per week.
Working times are to be flexible, depending on business requirements
Overtime hours may be requested

Salary
TBC. Based on experience. Rewards given based on performance
