Job Title: Virtual Assistant for Quantum Buyers Agents

Job Description:

Position Overview:
As a Virtual Assistant for Quantum Buyers Agents, you will play a pivotal role in supporting the Director in various administrative tasks, CRM management, data scraping, client onboarding, property search assistance, social media management, and maintaining the Google My Business profile. Your organizational skills, attention to detail, and ability to multitask will be essential for success in this role.

Responsibilities:

Executive Assistant to the Director:
Provide comprehensive administrative support to the Director, including managing emails, scheduling appointments, and handling correspondence.
Assist in preparing reports, presentations, and other documents as required.

CRM Management and Upload:
Maintain and update the Customer Relationship Management (CRM) system with accurate client information and interactions.
Upload relevant documents, notes, and communication records into the CRM database in a timely manner.

Data Scraping for Current Listings:
Utilize data scraping techniques to gather information on current real estate listings from platforms such as Upgrade to see actual info and Domain.
Ensure that all scraped data is accurate, organized, and up-to-date for further analysis.

Onboarding Emails for New Clients:
Draft and send onboarding emails to new clients, providing them with necessary information, documentation, and instructions.
Coordinate with the Director to ensure a smooth onboarding process for new clients.

Briefing and Collating Search Information:
Assist in gathering and collating relevant information for property options based on client preferences and requirements.
Prepare briefing documents and summaries for the Director's review prior to client presentations.

Scheduling Social Media Posts:
Manage the social media calendar and schedule posts across various platforms, ensuring consistency in messaging and branding.
Monitor engagement and respond to inquiries or comments on social media channels as necessary.

Managing Google My Business Profile:
Maintain the Google My Business profile, ensuring that all information is accurate and up-to-date.
Respond to client reviews and inquiries in a professional and timely manner.

Qualifications:
Proven experience as a virtual assistant or in a similar administrative role.
Proficiency in using CRM systems and familiarity with data scraping techniques.
Excellent communication skills, both written and verbal.
Strong organizational skills and ability to prioritize tasks effectively.
Attention to detail and accuracy in data entry and management.
Ability to work independently and collaboratively in a remote team environment.
Knowledge of the real estate industry and understanding of property search processes is a plus.
