Virtualee & Co is an online business management agency that empowers stuck and overwhelmed consultants to scale their business & reclaim their time. And our all-female wonders team is looking for you!

We're looking for a tech-savvy Virtual Assistant to join our team and help keep things running like a well-oiled machine. If you're the kind of independent team player with excellent communication skills and a knack for handling a variety of tasks like a pro, we want to hear from you. As our go-to Technical Virtual Assistant, you'll be pivotal in smoothing out our daily operations, greatly helping with technical stuff, and making sure deadlines are met with finesse.


Key Responsibilities:

Technical Support:
Provide technical assistance and troubleshooting for software, hardware, and online tools used by the team.
Proficiency in online software and tools such as Canva, ChatGPT, Upgrade to see actual info, WordPress, JotForm, AddEvent, Calendly, Zapier, Zoom, Outgrow, and finance tools such as Intuit/QuickBooks, Stripe, etc.

Website Management: Assist in website maintenance, including content updates, plugin installations, and troubleshooting technical issues.

Technical Research: Conduct research on new technologies, tools, and solutions relevant to the team's needs, providing recommendations for implementation or improvement.
Summarize data and prepare reports for decision-making
Prepare SOPs and other needed documentation

Communication Management:

Act as a liaison between teaUpgrade to see actual infombers, clients, and external partners.
Provide regular updates and task progress to teaUpgrade to see actual infombers and clients.
Respond to emails, and inquiries promptly and professionally.
Ensure timely and professional follow-up with clients and external partners to maintain strong relationships.
Draft and proofread correspondence.
Proficiently utilize email marketing softwares (incl. but not limited to: ConvertKit, Hubspot, etc.) to ensure timely distribution of newsletters and similar communications.

Task Coordination:

Delegate tasks to teaUpgrade to see actual infombers to meet deadlines promptly.
Track and follow up on assigned tasks to ensure completion.
Communicating updates and changes with teaUpgrade to see actual infombers as needed.
Assist in project management and coordination via ClickUp and Airtable.
Is confident to be a point of contact for clients

Qualifications

At least 1 year proven experience as a Technical Virtual Assistant or in a similar role.
Attention to detail and a high level of accuracy.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Proficient in using office software and online collaboration tools.
Ability to work independently, reliably, and take initiative.
Discretion and confidentiality in handling sensitive information.
Flexible and adaptable to changing priorities.
Has great time management skills
Knows how to take accountability and ownership of their work and actions
Committed to personal and professional growth.
Resourceful and has the ability to resolve issues independently.
Experience working with direct clients or as a point of contact for clients is prioritized.
