Work Schedule: Monday to Friday, 8:00 AM to 5:00 PM CST

Job Description:
We are currently seeking a skilled Construction Administrative Assistant to join our team. The ideal candidate will have experience working in a similar role within the US construction industry, preferably with exposure to residential construction and renovation, handyman and maintenance jobs. This individual will be responsible for providing administrative support to our managers and teaUpgrade to see actual infombers, as well as assisting with various tasks to ensure the smooth operation of our construction projects.

Responsibilities:
-Assist general & operations manager with administrative tasks such as document preparation and data entry on the CRM for leads & existing clients
-Coordinate with suppliers and vendors to confirm details, place orders, and schedule deliveries.
-Answer incoming calls and emails from suppliers/vendors, providing excellent customer service to existing customers and addressing inquiries promptly.
-Maintain organized records of project documentation, contracts, and correspondence.
-Prepare and distribute project-related communications to internal and external involved personnel.
-Assist with scheduling virtual meetings, appointments, and site visits, as needed.
-Collaborate & communicate with teaUpgrade to see actual infombers to ensure timely completion of administrative tasks and project milestones.
-Match receipts on the software (Buildertrend) from the vendor portal.
-Assist in confirming hours for payroll

Requirements:
-Minimum of one year of experience in an administrative role within the US construction industry, preferred.
-Familiarity with residential construction, renovation, handyman and maintenence jobs, and commercial renovations preferred.
-Strong communication skills, both written and verbal.
-Proficiency in Microsoft Office Suite and/or Google Workspace.
-Excellent organizational and time management abilities.
-Ability to multitask and prioritize tasks effectively in a fast-paced environment.
-Detail-oriented with a high level of accuracy in data entry and record-keeping.
