JOB OVERVIEW

We are seeking a highly skilled and versatile Executive Assistant to provide comprehensive support to our Director. In addition to the responsibilities outlined in the Social Media and Communications Specialist role, the Executive Assistant will handle a wide range of administrative tasks, ensuring the smooth operation of the Director's office. The ideal candidate will have exceptional organizational skills, a proactive approach to problem-solving, and the ability to handle confidential matters with discretion.

Responsibilities:
- Manage the Director's email inbox, prioritizing and responding to messages as needed.
- Draft, proofread, and edit various documents, including correspondence, reports, and presentations.
- Assist in the preparation and management of business administration tasks, such as expense reports, invoices, and budgets.
- Provide technical support for the Director's Windows 365 environment, ensuring all applications and tools are up-to-date and
functioning properly.
- Coordinate the Director's travel arrangements, including booking flights, hotels, and transportation.
- Manage the Director's calendar, scheduling meetings, appointments, and conference calls.
- Serve as a liaison between the Director and internal and external stakeholders, facilitating effective communication and
collaboration.
- Assist in the planning and execution of company events, such as meetings, conferences, and team-building activities.
- Conduct research and compile information on various topics as requested by the Director.
- Handle confidential information with the utmost discretion and maintain strict confidentiality.
- Provide general office support, including ordering supplies, maintaining filing systems, and ensuring the office runs efficiently.
- Develop and execute social media strategies across multiple platforms (Facebook, Instagram, Twitter, LinkedIn) to increase
brand awareness and engagement.
- Create compelling content for social media, website, and other marketing materials.
- Monitor and respond to comments, messages, and inquiries on social media channels.
- Collaborate with internal teams to ensure consistent branding and messaging across all communications.
- Assist in the development and maintenance of the company website, ensuring it is up-to-date, user-friendly, and optimized for
search engines.
- Prepare and distribute internal and external communications, including newsletters, press releases, and employee updates
- Create and maintain business documentation, such as standard operating procedures, templates, and reports.
- Provide administrative support to various departments, including scheduling meetings, managing calendars, and organising
files.
- Analyse and report on the performance of social media campaigns and website traffic, making recommendations for .
improvement.
- Stay up-to-date with the latest trends and best practices in social media and digital marketing.

Additional Requirements:
- Proven experience as an Executive Assistant or similar role supporting senior-level executives.
- Strong proficiency in Windows 365 and its associated applications (e.g., Outlook, Word, Excel, PowerPoint).
- Exceptional written and verbal communication skills, with the ability to interact professionally with a diverse range of
individuals.
- Highly organized and detail-oriented, with the ability to manage multiple tasks and priorities simultaneously.
- Proactive and solutions-oriented, with a willingness to take initiative and anticipate the Director's needs.
- Ability to work independently and as part of a team, demonstrating strong collaboration and interpersonal skills.
- Flexible and adaptable, with the ability to work in a fast-paced, dynamic environment.
- Discretion and confidentiality in handling sensitive information.
- Bachelor's degree in marketing, communications, or a related field.
- 3+ years of experience in social media management and digital marketing.
- Strong writing and editing skills, with the ability to adapt to different tones and styles.
- Proficiency in social media management tools (e.g., Hootsuite, Sprout Social) and analytics platforms (e.g., Google Analytics, -
Facebook Insights).
- Experience with website content management systems (e.g., WordPress, Squarespace).
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong interpersonal and communication skills, with the ability to work collaboratively with various teams.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Familiarity with basic graphic design principles and tools (e.g., Adobe Creative Suite) is a plus.
