JOB OVERVIEW

Brief Summary: As the Liaison Officer, you will be responsible for bridging the gap between our clients,suppliers, Brokers and internal teams. This involves ensuring the smooth flow of information and resources, as well as addressing any concerns or issues that may arise. You will act as the main point of contact for external parties, representing the company in a professional and diplomatic manner. In addition, you will collaborate closely with different departments within the organization to facilitate effective communication and achieve overall project goals.


Responsibilities:

? Company Insurances Monitoring(Hicks Holdings, Inc. & Cooper Clean) Full Monitoring of CompanyInsurance expiry dates and Policies for both Hicks Holdings and Cooper Clean. Preparation and submission ofRenewal Documents and assisting Insurance Broker in the Renewal Process.

? Request Certificate of Insurance (COI’s) from Insurance Broker. Check carefully if the Insurance Policies and COI details are matching with the Insurance Requirements given. (Policy Limit, Certificate Holder Details, Policy Inclusions, Additional Insured, Coverage Requirements, Etc.

? Request for the Monthly Payment of Insurance Policies’ pending balance from the Accounts Department through Zoho System.

? Manage the Processing of Insurance Claims. Assist in collecting necessary documents, obtain medical receipts/reports, evidence for claims, fill out and complete necessary insurance forms for submission and answer questions or inquiries asked by insurance provider adjusters/investigators by providing accurate information regarding the claim. Work Closely with insurance broker to assess and submit claims to Insurance Providers.

? Ensuring our clients' construction projects meet all the regulatory requirements set forth by the NYC DOB. Responsibilities includes monitoring, assisting in job applications, submission, and generating work permits to facilitate the smooth and timely completion of projects. Being the point of contact for clients,guiding them through the permit application process and offering support as they navigate the complexities of NYC DOB regulations. Responsibilities also includes application and Renewal of DOB Licenses through the NYC DOBNow Portal.

? Streamlining the process of obtaining and renewing licenses for the Company. Your responsibilities will include handling the application process, monitoring license expirations, and facilitating renewals in compliance with all regulatory requirements.

? Managing the creation, validation, and submission of all necessary pre-construction documents, while working closely with the Quantity Survey (QS) team and the Project Operations team for a smooth transition from pre-construction to the project's commencement.

? Overseeing the efficient processing and notarization of lien waivers, ensuring that all documentation is accurate, complete, and compliant with project requirements
? Online Portal Monitoring: Regularly check online compliance portals and databases to identify any potential violations related to our projects.

? Identify and document all violation notices and associated payment requirements.Verify the accuracy of violation details, including amounts, due dates, and any relevant supporting documentation.

? Review and validate parking ticket details, including ticket numbers, violation codes, amounts, and due dates.Process payments for parking ticket violations in a timely and accurate manner.

? Responsible for using the NYC Street Management Permit System to apply for street/road permits from the Department of Transportation in New York City.

? Responsible for generating AIA contracts from the AIA website and meticulously reviewing and ensuring the accuracy and correctness of the information and details within the contracts.

? Responsible for tracking and overseeing the vehicle registration and renewal process with the
Department of Motor Vehicles (DMV).

? Renewal and Monitoring of our EPA Certificate as required by New York City Law.

? Responsible for obtaining information of our Company’s Certificate Status and Providing information on our Company Details from Secretary of State Portal.


Required Skills/Abilities:

? Proven experience in a similar liaison or coordination role
? Any College degree
? Excellent interpersonal and communication skills, both written and verbal
? Strong organizational and multitasking abilities
? Attention to detail and ability to work under pressure
? Proficient in Microsoft Office Suite
? Knowledge of the recreational facilities and services industry is a plus.
