Position: Full Time Virtual Assistant (VA) with Finance and Non-Profit Knowledge

Summary:
We are seeking a skilled Virtual Assistant (VA) with a background in finance and non-profit operations to support our organization remotely. The ideal candidate will possess excellent administrative skills, strong financial acumen, and a passion for contributing to meaningful causes. As a Virtual Assistant, you will play a crucial role in providing administrative and financial support to help us achieve our mission-driven objectives.

Responsibilities:

Administrative Support:

Manage email correspondence, calendar scheduling, and appointment coordination for organizational leadership.
Organize and maintain digital files, documents, and databases with accuracy and confidentiality.
Coordinate virtual meetings, webinars, events and conference calls, including agenda preparation and minute-taking.

Financial Assistance:

Assist in budget preparation and monitoring by gathering and organizing financial data.
Process invoices, expense reports, and reimbursements in a timely and accurate manner.
Conduct basic financial program/services analysis and reporting tasks to support decision-making processes.

Communication and Correspondence:

Draft and proofread professional correspondence, reports, research and presentations.
Liaise with external stakeholders, donors, and partners via email, phone, or virtual communication platforms.
Maintain communication channels within the organization, ensuring timely dissemination of information.

Database Management:

Update and maintain donor databases, contact lists, and other organizational records.
Generate reports and queries from databases to extract relevant information as needed.
Ensure data integrity and compliance with data protection regulations.

Event Coordination:

Assist in the planning, coordination, and execution of virtual events, fundraisers, and campaigns.
Support logistics, registration, and attendee management for virtual meetings and events.
Collaborate with teaUpgrade to see actual infombers to ensure seamless execution of event-related tasks.
Research and Analysis:

Conduct research on relevant topics, trends, and best practices in finance and non-profit management.
Compile and summarize research findings into actionable insights for organizational decision-making.

Qualifications:

Proven experience as a virtual assistant or administrative assistant, preferably in a finance or non-profit setting.
Strong organizational skills with attention to detail and the ability to multitask effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), virtual communication tools (e.g., Zoom, Microsoft Teams), and cloud-based productivity platforms (e.g., Google Workspace).
Basic understanding of financial concepts, budgeting principles, and accounting practices.
Excellent written and verbal communication skills, with a professional and courteous demeanor.
Ability to work independently with minimal supervision and collaborate effectively in a remote team environment.
Commitment to confidentiality, integrity, and ethical conduct in handling sensitive information.
