Responsibilities include but not limited to the following:
- Process, match, and verify invoices with purchase orders (POs) and services received, adhering to company guidelines.
- Responsible for the daily posting of receivables, ensuring timely and accurate management of incoming funds.
- Data entry and maintenance of both accounts payable (AP) and accounts receivable (AR) transactions in a timely manner.
- Prepare, mail, and manage the maintenance of all AP checks and AR receipts.
- Oversee the maintenance of both AP and AR files and records to ensure accuracy and compliance.
- Perform bank and account reconciliations for both payable and receivable accounts to ensure accurate financial reporting.
- Interface with vendors and customers on all payment matters, discrepancies, and inquiries, maintaining strong and professional relationships.
- Process and oversee expense reimbursements, reporting, and customer refunds or credits.
- Reconcile, print, and analyze AP and AR reports to provide insights and ensure financial integrity.
- Analyze AP accounts and AR aging to prioritize payments and collections, preparing analyses as required.
- Assist with monthly closings, annual budget preparation, and financial audits to support accurate and timely financial reporting.
- Handle 1099 preparation and filing for vendors and manage credit memos for advertising, merchandise returns, slotting fees, and other allowances.
- Serve as a backup and support for both AP and AR duties, ensuring a seamless financial operation.

Requirements:
- Minimum 2 years of experience in a combined Accounts Payable and Receivable role.
- Proficiency in Excel (VLOOKUP, Pivot Tables), Word, Outlook, and experience with Enterprise Resource Planning (ERP) systems.
- Strong calculation skills to include discounts, commissions, percentages, and interest.
- High attention to detail and the ability to prepare reports and business correspondence.
- Excellent verbal and written communication skills to effectively communicate with vendors and customers.
- Strong organizational and analytical skills to manage workflow, priorities, and multitask in a fast-paced environment.
- Flexible and adaptable, with a problem-solving attitude, to work in an ever-changing environment.
