Accounting Services Representative

We are looking for an ASR, that will support internal and external customers in managing financial records for client communities. Report to the Chief Financial Officer and ensure accurate and timely maintenance of accounting documents and records.

Responsibilities:

Accounts Receivable:
Post and deposit homeowner payments within departmental timelines.
Process daily lockbox deposits and investigate missing payments or concerns.
Reallocate homeowner payments as needed in Vantaca.

Accounts Payable:
Scan and upload invoices in Vantaca, reporting inaccuracies and late payments.
Record vendor invoices accurately and on time in Vantaca.
Reconcile and verify payments and invoices for business transactions.

Escrow Processing:
Process all escrow demands 24 hours before due date in Homewise.
Manage ownership changes in Panel and Vantaca within established timelines.
Generate and distribute welcome packages to new owners.

Customer Service:
Handle phone calls and emails from vendors and clients promptly.
Respond to all communications within 24 business hours.
Document all client transactions in Panel and/or Vantaca.

Qualifications:
Good general knowledge of homeowner associations (HOA).
Proficient in developing comprehensive Standard Operating Procedures (SOPs) and streamlined protocols for optimizing accounting service workflows.
Excellent organization skills and time management.
Ability to analyze information and provide recommendations.
Strong customer service skills with a tactful and professional approach.
Collaborative decision-making, relationship building, and problem-solving.
Exceptional verbal and written communication skills.
Proficient in general computer programs (e.g., web browsers, MS Office suite).
Ability to work 40 hours a week following US time zone.
