About the Role:

HR: (40% of role)

We run a fractionalised outsourced HR model providing full Employee lifecycle support and complete HR function from recruitment, onboarding, probation management, reviews, offboarding, processes, HR document management and policy and processes. You will be a core member of the team assisting us in inbox management, preparing based documents, running HR processes and keeping the Australia HR consultants informed of what needs to be actioned.

Recruitment (40% of role)

We handle both volume and search roles, which means we sometimes have mass candidate applications to process and then search roles to fill. You would support the Australian consultants but adding all CV’s and folios sent via email, update candidate information, assist in general candidate communication and managing emails received and updates and letting the consultants know.

On the search side you will assist us in doing searched using linked recruiter and other tools we use to complete market maps and creating large candidates list with insights, providing short-listed recommendations and ensuring that all candidate information is also entered into the database. You will also assist in preparing presentation short-list for clients and assist potentially in preparing prospectus (graphical documents) to send to candidates. You will also assist in sending InMail’s, emails and other written correspondence to perspective candidates and assist managing correspondence in coordination with the consultants. You will also assist in branding candidate CV’s and other documents removing all identifiable information and ensuring relevant terms are attached too.

Training and Development: (5% of role)

You will assist in both putting training material together, assisting in coordinating the training sessions and related correspondence and internal communications within the programs.
We also looking to run industry webinar training session and network groups and you would assist in coordinating these, assist in setups and technical monitoring and presentations during these too.

Process mapping and improvement (10% of role)

As we are still a start-up, we are still establishing a lot of process and templates, to beginning you will be heavily involved in creating a lot of HR based documents. We will give you instructions and you will create the base and we will work with you to shape it to the Build Px way. We also then want to create great processes and standard operating procedures so you will also help up to build out training manuals, SOP both for us and for clients.

Assistant Duties (5% of role)

You will assist with a variety of general administrative duties, including supporting our founder with daily email and calendar management, coordinating interviews and meetings as required.

About You

We are looking for someone who wants to be a core part of growing something. We are a small team, and this role is vital to our success. We work as a team and we want someone to be part of the team, who loves what they do, has an interest in HR and recruitment and an amazing administrator. Our consultant’s role is do to the talking to people – clients and candidates but your part of the team and someone we want to proactively contribute and improve the way we do things. We are looking for someone who can be taught the way we do things or given the context and can start to pick it up and handle more things with less directive – i.e. someone who shows initiative and precepts, comes with ideas and solutions and check with us and then proceeds. The more you can do the more the Australia team can get on with growing the business.

You may be more experienced or less experiences, what matters to us is getting the job done, picking this up and showing initiative. We are go getters, we work with go getters and we are looking for a go getter.

Ideally, you will be a highly organised, proactive individual with excellent communication skills and meticulous attention to detail. You should find fulfilment in administrative tasks and supporting both internal and external stakeholders, demonstrating outstanding customer service and client engagement. Familiarity with tools like Loom, excel and recruitment software is preferred, as we are committed to enhancing operational efficiency and embracing innovative ideas.

We may take on more clients and temps with payroll so if you have this skill or open to learning we may train you up on Xero payroll. If you have experience with payroll and Xero, Myob or QuickBooks this would be an added bonus.

We are growing and we want to keep growing, we are open to people looking for part-time long term, especially as we are all working mums or someone open to part-time but can work up to fulltime as we grow. We also hope to keep growing and continue to grow our Philippine team so there is potential for you go grow others in the future too.
