JOB OVERVIEW

We are looking for an experienced Executive Assistant with a background in marketing agencies to provide high-level administrative support to our executives. The ideal candidate will possess excellent organizational, communication, and multitasking skills, along with a strong understanding of the marketing industry.

Qualifications:
Experience
- Minimum of 3 years of experience as an Executive Assistant in a marketing agency or related industry.

Skills and Competencies
Exceptional organizational and time management skills.
- Proficiency in the calendar and email management software (e.g., Outlook, Google Calendar).
- Strong written and verbal communication skills.
- Ability to multitask, prioritize, and handle pressure in a fast-paced environment.
- Knowledge of marketing industry terminology and processes.

Key Responsibilities:
Calendar and Schedule Management
- Efficiently manage executive calendars, prioritize appointments, and coordinate meetings, ensuring optimal time management and scheduling.

Communication and Correspondence
- Facilitate smooth communication between executives, clients, and internal teams, managing emails and other forms of correspondence effectively.

Travel Coordination
- Coordinate complex travel arrangements, including flights, accommodations, and itineraries for executives attending business meetings, conferences, and events.

Confidentiality and Discretion
- Maintain the highest level of confidentiality in handling sensitive information, both internally and externally.

Document Preparation and Management
- Assist in the preparation, formatting, and proofreading of various documents, reports, and presentations for executive use.

Expense Management
- Assist in managing expense reports and budgets for the executive team, ensuring accuracy and compliance with company policies.

Meeting and Event Support
- Organize and coordinate meetings, events, and conferences, including logistics, materials, and follow-up actions.

Vendor Management
- Liaise with vendors and external partners to arrange services and supplies as needed, ensuring smooth operations for the executive team
