Executive Assistant
Employment Status: Full-Time

Position Overview:

We are seeking a proactive, highly organized Executive Assistant to support our clients. This role is pivotal in facilitating the smooth operation of Purpose Advisory and its partners/businesses, ensuring that X-ecutive's vision for impact and excellence is achieved through efficient administrative and operational support. The ideal candidate will be a detail-oriented individual with exceptional communication skills and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

- Provide comprehensive administrative support, including calendar management, scheduling meetings, and coordinating travel arrangements.
- Act as a liaison between PA and clients, stakeholders, and teaUpgrade to see actual infombers, ensuring clear communication and timely dissemination of information.
- Assist with financial bookkeeping tasks, including invoice processing, expense tracking, and preparation of financial reports.
- Organize and maintain files and databases in a confidential manner.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Manage special projects and events, aligning with company's objectives to nurture and invest in the community and professional networks.
- Support the execution of strategic business plans and initiatives
- Handle personal assistant tasks as needed, demonstrating discretion and confidentiality.

Practical Requirements:
- Availability 5 days/week, Sydney office hours (willing to be flexible, but we need to align calendars)
- Dedicated office space (quiet and without distractions)
- Reliable, high speed internet connection
- Back-up internet connection

Qualifications:
- Experience as a Virtual Assistant/Executive Assistant

Preferred Skills:
- Excellent communication skills, both verbal and written.
- Demonstrated ability to empathize and connect with a diverse client base.
- Strong organizational and planning skills.
- Research skills
- Commitment to professional development and adherence to ethical guidelines.

Case study 1: You've been assigned as the Executive Assistant for a beautiful, high energy but chaotic creative entrepreneur who doesn't respond to their emails and is hard to reach by chat. Your job is to help them feel confident and in control of their life, to improve communication with leads, clients and partners, and to help them better enjoy their experience of work and admin. They have multiple Gmail boxes with many unread emails (bills, leads, enquiries, spam etc.), they don't have an automated invoicing or billing system, they have leads coming from various sources, and they're sporadic with their social media posting.
You're preparing for your first session with them, to find out more of the best role you can play to support them, as well as to convince them they can trust you to guide them through the chaotic world of their personal and business admin.
Give an outline of how you plan to host this meeting. What key questions do you need answered. What action plan do you expect to establish with them. How will you set your relationship up for success with them?

Case Study 2: NLP/Coaching - What experience do you have with being coached or being a coach (think in any context - sport, work, life coaching etc.)? What training (if any) do you have in Neurolinguistics Programming (NLP)? What interests you to be trained further in NLP?
