JOB OVERVIEW

Position Overview:

RecruitGo is in search of an Administration Assistant. In this role, you will be responsible for Providing professional Support Services to assist the seamless operation will be the primary responsibility.

Aside from your established skills and expertise, we are also looking for someone who can manage multiple tasks and deadlines, communicate and collaborate effectively, work independently and proactively, and contribute to a positive work culture.


Role Purpose:

The Administration Assistant has an integral role - predominantly involving the provision of professional Support Services to ensure the smooth operational requirements of clients and specific Director Divisions.

Additionally - support is provided with various Client Care - Marketing and Staff Care Committee initiatives. The administration team is fundamental to the overall performance of the client - requiring accomplished and passionate Administrative: TeaUpgrade to see actual infombers to enable the functionality of Administration and business continuity.


Responsibilities:

- Effective Management of Individual Workflow
- Co-ordinate and manage Divisions ASIC via NowInfinity including Debtor Report etc
- Coordinate Notices of Assessment ie. BAS - Div 293 - IAS - NOA - PAYG etc including MyGov Correspondence via ATOMate
- Tax Return Collation via Fusesign ie ITR - Company - Partnership - SMSF - Trust
- Weekly Divisional Tax Tracking [Including but not Limited To]: BAS - IAS - ITR etc
- Monthly Divisional: Tax Tracking [Including but not Limited To]: BAS - IAS - ITR etc
- Quarterly Client Running Balance Reviews from ATO - Support Office Manager with Meeting Preparation
- Checking Team Amenities Stock [i.e. Milk - Tea etc]
- WIP To Be Billed Reporting - Weekly and Monthly
- Failure to Lodge Penalty Report - Weekly
- Preparation and attendance - Weekly Administration Meeting with the AUS client: Office Manager
- TeaUpgrade to see actual infomber: Approved Leave Emails
- Professional Correspondence & Invoices
- Assist with Training TeaUpgrade to see actual infombers [As Required]
- Support: Office Manager with ongoing development of Administration Services & Support
- Assist the client (PH team): Practice Manager with Firm Reporting
- Assist PH and AUS team: Office Manager: Practice Manager with planning objectives and goals for Support Services
- Preparation of various Minutes of Meetings [MOM] & timely distribution

Qualifications:

- General Office Administration
- Experience Working with ASIC and understanding various ASIC Forms ie. Annual Review [Company Statement] Deregistration - Form 362 - Share Transfer etc
- Experience Working with ATO
- Experience Working with NowInfinity or similar ASIC Compliance Software
- Experience Working with ATOMate, FuseSign, or Similar
- Experience dealing with all Levels of Staff and Management
- Proficiency with Software - MS Office [Excel - PowerPoint - Word] - Xero and other Software Technologies used by the client from time to time]
- Ability to prioritize workload - coordinating multiple tasks
- Strong Multi-Tasking & Prioritisation Skills
- Ability to Work autonomously with nominal supervision
- Proactive - displays initiative to achieve Key Deliverables and Outcomes
