My main tasks as administrative assistant is to extend administrative support to my immediate supervisor. I've done composition of memorandum, reports, create simple forms from the general instruction of my immediate supervisor. Receives and screens callers with requests or follow-up and directs them to the appropriate party for necessary action. Makes appointments, coordinates meetings, and schedule conference room for supervisor and staff using outlook calendar. Prepares travel request authorization of staffs. Compiles budget data from financial records, maintains records of budget transfers; establishes filing system for incoming and outgoing memorandums, purchase orders through Oracle system. Maintains and controls confidential employee or departmental files. I used MS outlook for answering emails from different departments with the directive of my supervisor, send emails to other section head, make calendars for reminders, follow-up and meetings.
I have develop and maintain spreadsheets to enter information for easy access of files such as evaluation of the staff, training schedule of the staff, pending memos for follow-up and other requests.
