From my previous job, as Executive Assistant to the CEO, I may have gone through a lot of experience. As my basic function I keep official corporation records and executes administrative policies determined by or in conjunction with other company officers. I also assist the Chief Executive Officer in her day-to-day activities and functions. As needed, I direct, administer, and coordinate the activities of the organization in support of policies, goals, and objectives established by the Board of Directors in the absence of the Chief Executive Officer.
Part of my MAIN DUTIES are the following:
- Manages manager’s and supervisor’s calendars and independently schedule appointments.
- Screens incoming calls as correspondence for the CEO, and responds independently when possible.
- Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers, and monitors compliance
- Arranges programs, events, conferences, or meetings by arranging for facilities and caterer, issuing information or invitations, coordinating business clients, and controlling event budget
- Directs preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings
- Monitors and directs recording of company stock issues and transfers
- Acts as custodian of corporate documents and records
- Directs preparation and filing of corporate legal documents with government agencies to conform with statutes
- Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents
- Creates and maintains database and spreadsheet files
- Arranges complex and detailed travel plans and itineraries, complies documents for travel-related meetings, and accompanies the general manager when requested
- Compiles and analyzes financial information to prepare entries to accounts, such as general ledger accounts, documenting business transactions.
- Audits contracts, orders, and vouchers, and prepares reports to substantiate individual transactions prior to settlement.
- Installs, modifies, documents, and coordinates implementation of accounting systems and accounting control procedures.
- Devise and implements system for general accounting.
- Makes recommendations regarding the accounting reserves, assets, and expenditures.
- Conduct studies and submits recommendations for improving the organization’s accounting operation.
- Collects appropriate data and prepares federal, state, and local reports and tax returns.
Moreover, I am happy to serve the company I work for with different tasks given to me from time to time. I work with flexibility and less supervision.
