We are looking for a reliable, detail-oriented professional to manage all administrative tasks related to our Career Mentor advisor program. This role ensures smooth operations between advisors and participants by keeping records organized, maintaining schedules, and providing responsive support.
This is a remote, admin-only position (very few live calls required). The ideal candidate will be highly organized, proactive in communication, and comfortable managing multiple moving pieces.
Responsibilities:
Track and manage advisor leads from intake through onboarding.
Schedule and coordinate advisor onboarding calls.
Follow up with advisors post-onboarding, sharing resources and next steps.
Track advisor requirements (bio, headshot, availability) and maintain accurate records.
Add advisors to Calendly and ensure proper scheduling setup.
Manage all Calendly administration: reminders, outreach, session tracking, and follow-up for registration/feedback forms.
Field participant and advisor inquiries (scheduling, rescheduling, troubleshooting).
Confirm advisor availability monthly and gather periodic feedback.
Maintain ongoing tracking systems for advisors, sessions, and participant engagement.
Identify and flag process issues or areas for improvement.
Qualifications:
Excellent organizational skills and strong attention to detail.
Experience with scheduling tools (Calendly required).
Strong written communication and responsiveness.
Ability to work independently with minimal oversight.
Familiarity with CRMs or tracking tools (Monday.com, Google Sheets) is a plus.
