Operations & Admin Virtual Assistant (QuickBooks, Shopify & Systems) – 6ix Donutz

About Us

6ix Donutz is a growing food and catering company based in Toronto, Canada. We’re looking for a highly organized, detail-oriented Virtual Assistant who can help support our operations, bookkeeping, systems, and day-to-day administrative tasks.

This is not a basic VA role.

We’re looking for someone who enjoys solving problems, improving processes, staying organized, and helping a business scale.

What You’ll Be Responsible For

Administrative Support

* Managing and organizing emails
* Following up on inquiries and requests
* Organizing company files and documentation
* Maintaining operational records
* Assisting with day-to-day administrative tasks

Bookkeeping & Finance Support

* Maintaining QuickBooks records
* Categorizing transactions
* Reconciling accounts
* Reviewing reports for accuracy
* Identifying discrepancies
* Assisting with month-end bookkeeping tasks
* Keeping financial records organized and up to date

Systems & Operations:

* Monitoring automations and workflows
* Troubleshooting system issues
* Updating SOPs and documentation
* Identifying process improvements
* Assisting with implementation of new systems

Shopify & Website Support:

* Updating products and collections
* Making website content updates
* Updating promotions and banners
* Maintaining accurate website information

Delivery App Management:

* Updating menus across delivery platforms (Uber Eats, DoorDash, SkipTheDishes, etc.)
* Maintaining pricing accuracy
* Updating product descriptions
* Monitoring platform issues
* Assisting with platform optimization

Catering & Customer Support:

* Assisting with catering inquiries
* Updating customer information
* Maintaining order records
* Supporting event logistics when required

What We’re Looking For

Required:

* Excellent written and verbal English
* Strong attention to detail
* QuickBooks experience
* Strong organizational skills
* Experience with Google Workspace
* Experience working with spreadsheets
* Ability to work independently
* Strong problem-solving abilities

Preferred:

* Shopify experience
* Zapier or automation experience
* Food & beverage industry experience
* Uber Eats, DoorDash, or SkipTheDishes experience
* Customer service experience
* SOP creation and documentation experience

We are looking for someone who is proactive and comfortable identifying issues before they become problems. We value team members who bring solutions, not just report issues.

Key Performance Indicators (KPIs)

Success in this role will be measured by:

* Accuracy of bookkeeping records
* Email response and organization times
* Completion of assigned tasks
* Number of process improvements identified
* Quality of SOP documentation
* Accuracy of menu and website updates
* Automation uptime and issue resolution
* Overall attention to detail and reliability

Hours & Compensation

* Starting at approximately 10–15 hours per week
* Opportunity for additional hours as the business grows
* Starting compensation: $7 USD per hour (depending on experience)
* Performance review after 90 days
* Opportunity for increased responsibilities and pay based on performance
