Job Description

We are looking for a highly organized, tech-savvy, and proactive professional who can help manage marketing initiatives, content creation, CRM systems, market research, and day-to-day business operations.

The ideal candidate enjoys both creative and analytical work. One day you may be helping create social media content from a market update webinar, and the next day you may be assisting with a CMA, organizing CRM data, researching properties, or helping prepare marketing materials for a listing or commercial offering memorandum.

This position works closely with the founder and leadership team and plays an important role in helping scale the HAYLEN brand, client experience, and operational efficiency.

Key Responsibilities

Marketing & Content

Create and manage social media content across multiple platforms
Repurpose webinars, videos, market updates, and educational content
Assist with email marketing campaigns and newsletters
Update website content and marketing materials
Coordinate content calendars and marketing initiatives

Real Estate Operations

Assist with comparative market analyses (CMAs)
Conduct market research and property research
Support listing presentations and marketing packages
Assist with commercial offering memorandums and investment analyses
Gather and organize data for client reports and presentations

CRM & Systems

Maintain CRM records and contact databases
Organize lead pipelines and follow-up systems
Support workflow automation and process improvement
Assist with reporting and data management

Administrative & Project Coordination

Track projects and deadlines
Organize files and business information
Coordinate tasks and follow-ups
Support implementation of business initiatives

AI & Technology

Utilize AI tools to improve efficiency and productivity
Develop workflows using ChatGPT, Claude, Canva AI, and related tools
Identify opportunities to automate repetitive tasks
Help scale content production and business systems through technology

The ideal candidate:

Has experience supporting a real estate team, brokerage, mortgage company, or professional services business
Is highly proficient with AI tools and enjoys learning new technology
Has strong written and verbal communication skills
Can balance both creative and analytical responsibilities
Is detail-oriented and highly organized
Thinks proactively and identifies solutions rather than waiting for instructions
Is comfortable managing multiple projects simultaneously
Understands social media, content marketing, and personal branding
Has experience with CRM systems and database management
Can work independently and communicate effectively in a remote environment

Bonus Qualifications

Residential real estate experience
Commercial real estate experience
Experience preparing CMAs, BOVs, OMs, or market reports
Experience with Canva, Video Editing and other AI tools
Experience with automation platforms such as Make or Zapier
Multilingual capabilities esp Chinese and Spanish
Experience supporting founders, business owners, speakers, educators, or personal brands
