About the Role
DMV Prime Real Estate is an independent brokerage serving Maryland, DC, and Virginia. We are growing and need a detail-obsessed Transaction Coordinator VA who can own our contract-to-close process from day one — without hand-holding. This is not a general VA role. You will be the backbone of our transaction pipeline. If a deadline gets missed, a deal falls apart. We need someone who understands that.
What You Will Own
Manage all active transactions inside ClickUp from contract execution through closing
Track all critical dates: EMD deadlines, inspection contingencies, financing contingencies, and closing dates
Coordinate with title companies, lenders, buyers agents, and listing agents to keep every deal on track
Send proactive updates to all parties — you communicate before things become problems
Maintain and update the 5-phase Contract to Close checklist for every file
Assist with document management inside ZipForms
Send the broker a daily status report — no file goes dark
You Must Have
2+ years supporting a US real estate agent, team, or brokerage in a TC or operations role
Solid understanding of US real estate contracts, contingency periods, and closing timelines
Experience with ClickUp or a comparable task management tool
Proactive communication habits — you send updates without being asked
Availability Monday–Friday, 9am–1pm Eastern Time
Reliable internet and a professional remote work setup
Strong Plus (Not Required)
Experience with ZipForms or similar transaction management software
Familiarity with GoHighLevel CRM
Experience supporting brokers in Maryland, DC, or Virginia markets specifically
