Executive & Operations VA – Health & Wellness Brand (Part-Time, Long-Term)

About the role
We’re a fast-moving health and wellness brand based in Sydney, Australia, and we’re looking for a proactive, organised VA to support our Head of Content & Campaigns.
This is not a task-ticker role. We need someone who takes ownership, thinks ahead, and genuinely helps keep things moving without being chased themselves.
What you’ll actually be doing
- Managing a busy calendar, scheduling meetings, shoots, and calls across multiple time zones
- Keeping on top of follow-ups with creators, clinicians, and external collaborators
- Drafting and sending coordination messages via Slack, WhatsApp, and
- Tracking the status of ongoing projects and flagging anything that’s slipping
- Light research tasks (finding contacts, checking availability, sourcing information)
- Helping organise files, briefs, and shared documents (Google Drive, Notion, or similar)
You’re a great fit if you
- Have at least 2 years of experience as an EA, VA, or operations assistant
- Are incredibly organised and actually enjoy bringing order to chaos
- Have strong written English, you’ll be communicating with Sydney-based team members and external partners
- Are proactive: you spot what needs doing and do it, rather than waiting to be told
- Are comfortable working with tools like Google Calendar, Slack, and Google Drive
- Have some experience in a creative, media, or marketing environment (preferred, not essential)
