JOB OVERVIEW

Jessica Conner Consulting is a boutique operations and business support consultancy that helps business owners create Space to Breathe through Virtual Assistant (VA), Online Business Management (OBM), Go High Level, and Ivorey services, supported by streamlined systems, strong operational support, and thoughtful administration.
We work closely with founders and leadership teams to support the day-to-day running of their businesses, allowing them to stay focused on growth while we manage the structure and systems behind the scenes.
As our client base continues to grow, we are looking for a highly organised Executive Assistant & Operations Coordinator to support the business internally while also assisting our clients with administrative and executive support tasks.
This is a detail-driven role suited to someone who thrives in organised environments, enjoys working with systems, and loves bringing clarity and structure to busy businesses.

About the Role
This role provides support across two key areas:
• Internal operations within Jessica Conner Consulting
• Executive Assistant and administrative support for clients
You will work closely with the CEO and Head of Operations to ensure the business and our clients are supported with clear systems, structured workflows, and excellent communication.
This role will become an important part of the operational support structure of the business, particularly as Jessica prepares for maternity leave.

Expected Weekly Hours
This role will be 38–40 hours per week, with responsibilities split between internal operations and client support.
A typical weekly structure may include:

Internal Business Support
Approximately 18–20 hours per week
Supporting Jessica Conner Consulting with operational organisation, ClickUp management, reporting, and internal coordination.

Client Executive Assistant Support
Approximately 18–20 hours per week
Providing administrative and executive support for clients across a range of tasks and projects.
As the business grows, the balance of hours may shift depending on operational needs and client demand.

Key Responsibilities
Executive Support
• Assist with inbox management and email drafting
• Coordinate calendars and scheduling
• Prepare documents, reports, and summaries
• Assist with meeting preparation and note-taking
• Manage follow-ups and action items
ClickUp Project Management & Systems
This role requires someone confident working inside ClickUp.
Responsibilities include:
• Building and organising ClickUp spaces, folders, and lists
• Creating task templates and structured workflows
• Maintaining project boards and task structures
• Supporting the team in using ClickUp effectively
• Ensuring tasks are updated and deadlines are tracked
• Linking SOPs and documentation to workflows
Experience building and managing ClickUp project structures is highly desirable.

Client Coordination & Reporting
• Monitor client hours against retainers
• Track team time entries and usage
• Prepare weekly client usage summaries
• Flag when clients are nearing their allocated hours
• Assist in preparing information for client WIP meetings

Client Onboarding & Offboarding
• Coordinate client onboarding workflows
• Send welcome documentation and onboarding forms
• Set up client folders and internal systems
• Ensure onboarding steps are completed smoothly
• Manage offboarding processes where required

Client Executive Assistant Support
You may also provide Executive Assistant support for clients, including:
• Inbox management
• Calendar and appointment scheduling
• Document preparation and organisation
• Research tasks
• Event or travel coordination
• Administrative task management
• Support with personal tasks such as bookings, coordination, and organisation
Our goal is to help our clients create more space in their schedules so they can focus on the parts of their businesses they enjoy most.

Reporting & Metrics
• Compile monthly social media metrics reports
• Support reporting across internal projects
• Assist with team capacity and task tracking
• Identify workflow gaps or inefficiencies

SOP & Documentation Support
• Assist with documenting processes and procedures
• Maintain and update the SOP library
• Record Loom walkthroughs when required
• Support the continuous improvement of workflows

You are someone who enjoys creating order in busy environments and takes pride in producing high-quality work.
You are proactive, organised, and calm under pressure, with a strong ability to manage multiple moving parts while maintaining attention to detail.

Role Details
Position: Executive Assistant & Client Assistant
Hours: 38–40 hours per week
Working Time Zone: Australian Timezone
Location: Remote (Offshore)
Reporting to: CEO and Head of Operations
Hourly Rate: $10–$12 AUD per hour, depending on experience
