About the role:
The Search Admin Assistant (SA) plays a critical role in supporting the recruitment process by efficiently managing candidate data, tracking engagement, and ensuring seamless coordination across various platforms, including Manatal, SMS, Airtable, LinkedIn, and Reply.io. The SA ensures accurate documentation, proper tagging, and timely updates to maintain an organized and effective hiring pipeline.
What You’d be Doing:
* Maintain accurate and up-to-date candidate records across internal systems and databases
* Track and document candidate interactions across all outreach platforms
* Conduct pre-outreach checks to ensure compliance with client requirements and prior engagement history
* Manage candidate pipeline stages and ensure timely movement through the recruitment process
* Monitor inbound responses and ensure all updates are reflected across systems
* Maintain client-specific restrictions (e.g., Do Not Recruit lists) with accuracy and discretion
* Perform regular data audits to ensure database integrity and cleanliness
* Support teams with administrative and process-related tasks to ensure smooth search execution
What We’re Looking For:
* 2+ years of experience in administrative support, data entry, recruitment coordination, or a similar detail-oriented role
* Proficient in Google Workspace (Docs, Sheets, Gmail, Calendar)
* Familiarity with Manatal, Airtable, LinkedIn Recruiter, Reply.io, or similar ATS/CRM and outreach tools is a plus
* Typing speed of at least 58 WPM with 97%+ accuracy
* Exceptional attention to detail and commitment to data accuracy
* Strong organizational and time management skills, with the ability to support team members working across different time zones
* Able to prioritize tasks effectively and meet deadlines in a fast-paced environment
* Comfortable working with structured processes and repetitive workflows
* Tech-savvy and able to quickly learn new tools and systems
* Clear written communication skills
* Reliable, accountable, and consistent in output and follow-through
* Proactive in flagging discrepancies, gaps, or data issues
* Coachable and open to feedback
* Collaborative and able to work effectively with recruiters and team members
* Willing to work full-time (preferred)
