JOB OVERVIEW

About the Role

The Company is seeking a proactive and detail-oriented Client Concierge / Admin to manage client onboarding, engagement documentation, billing coordination, and day-to-day client communication. This is a client-facing role that requires professionalism, confidence, and strong organizational skills.

Key Responsibilities

Prepare and send engagement letters, contracts, and onboarding documents

Track completion of onboarding requirements and follow up with clients

Coordinate billing schedules and prepare/send invoices

Monitor payments and assist with billing-related inquiries

Communicate professionally with clients via email, phone, and Zoom

Maintain organized client records and documentation

Provide ongoing administrative support to leadership and clients

Required Qualifications

At least 2–3 years of experience in an administrative, client service, or account management role

Proven experience handling client communication (email and phone) in a professional setting

Experience with invoicing, billing coordination, or payment tracking

Strong written and verbal English communication skills

Proficient in Google Workspace (Docs, Sheets, Gmail, Drive)

Experience using Zoom and scheduling tools (e.g., Calendly, Google Calendar)

High level of organization and ability to manage multiple clients simultaneously

Strong attention to detail and ability to follow structured processes

Preferred (Nice-to-Have) Qualifications

Experience in accounting, bookkeeping, financial services, or professional services firms

Familiarity with CRM systems (e.g., HubSpot, Salesforce, ClickUp, etc.)

Experience working with international clients (US)

Background in a remote work environment
