Nonprofit Operations & Grant Support Virtual Assistant
Hours: Part-time to start (10–20 hours/week)
Schedule: Flexible
Pay: $5+ USD/hour (based on experience)
About the Role
We are seeking a highly organized, detail-oriented Virtual Assistant to support the setup and early operations of a U.S.-based nonprofit organization, including administrative coordination and grant support.
This role is administrative and research-focused, not legal or tax advisory. You will help organize information, prepare documentation, manage timelines, and support grant research and application preparation under the direction of U.S.-based professionals.
This is an excellent role for someone who enjoys structure, documentation, checklists, and meaningful mission-driven work.
Core Responsibilities
Nonprofit Setup & Operations Support
• Research nonprofit setup requirements by U.S. state
• Create and maintain a clear, step-by-step nonprofit setup checklist
• Organize incorporation documents, confirmations, and timelines
Draft non-legal documents using provided input, such as:
• Mission and vision statements
• Program descriptions
• Internal summaries for filings
• Prepare non-legal sections of applications and forms using provided information
• Track deadlines, submissions, confirmations, and follow-ups
• Coordinate communication with U.S.-based attorneys, CPAs, or registered agents
• Maintain organized records in Google Drive
• Provide clear progress updates and documentation summaries
Grant Research & Application Support
• Research grant opportunities aligned with the nonprofit’s mission
• Build and maintain a grant calendar with deadlines and requirements
• Draft or assist with grant application sections using provided language, templates, and guidance
• Organize required attachments (program descriptions, budgets, supporting documents)
• Track grant submissions, responses, and reporting requirements
Grant-related work focuses on research, preparation, drafting support, and organization. Final strategy, submissions, and approvals will be handled internally or with professional oversight.
Important Scope Clarification
This role does NOT include:
• Providing legal or tax advice
• Acting as a registered agent
• Making compliance or governance decisions
• Signing or submitting filings without approval
• Acting as a lead grant strategist
All legal, tax, and final submission decisions are handled by U.S.-based professionals.
Required Skills & Experience
• Strong administrative and organizational skills
• Excellent written English
Comfortable with:
• Research-heavy tasks
• Formal documentation
• Checklists, SOPs, and timelines
• Proficient with Google Docs, Sheets, and Drive
• Ability to follow instructions carefully and ask clarifying questions
• Reliable internet and consistent availability
Preferred (Nice to Have)
• Experience supporting nonprofit, compliance, or mission-driven organizations
• Experience with grant research or grant application support
• Project coordination or operations background
• High attention to detail and comfort handling sensitive information
