JOB OVERVIEW

I'm an executive coach looking for an experienced, skilled and organized Virtual Assistant to support my growing practice. This is a long-term opportunity for the right person who can handle a mix of administrative tasks, social media planning, light graphic design, and systems organization. I am flexible on scheduling but will need responsiveness during US Eastern Standard Time (EST) business hours.

Responsibilities include:
Administrative:
Organize and maintain Google Drive/Dropbox files with clear naming conventions and folder structures
Standardize document templates (client worksheets, presentation slides, session notes, contracts)
Manage email inbox and calendar scheduling as needed

Marketing & Social Media:
Plan and schedule social media content across [specify platforms: LinkedIn, Instagram, etc.]
Create monthly content calendars based on my coaching themes and programs
Repurpose content from workshops, blog posts, or recordings into social media/LinkedIn posts

Graphic and Web Design:
Create branded graphics for social media posts, email newsletters, and videoconferencing using Canva
Design client-facing materials (workbooks, one-pagers, presentation slides)
Maintain brand consistency across all materials
Refresh website content as needed

Required Qualifications:
3+ years experience as a VA supporting US-based clients
Experience working with coaches, consultants, therapists, or online course creators strongly preferred
Proficient in Canva and graphic design for social media
Strong written English communication skills
Experience with Google Workspace, Calendly, Zoom, and vCita (Would also welcome recommendations from my VA for other tools that can help automate or streamline my processes)
Highly organized with excellent attention to detail
Self-starter who can work independently with minimal supervision

Bonus Points:
Familiarity with executive coaching or leadership development industry
Experience with email marketing platforms
Knowledge of LinkedIn content strategy
Video editing skills for short social clips

References: At least 2 references from US-based clients you've supported

Start Date: Negotiable, but preferably this month
Trial Period: We'll start with a paid trial month (10-15 hours) working on specific projects to ensure we're a good fit before committing to ongoing monthly hours.
