JOB OVERVIEW

This role provides operational and legal support for an active litigation practice, with a primary focus on client interaction, intake, and disciplined case execution.

Primary Responsibilities:

1. Client Interaction and Intake (Highest Priority)

- Screen prospective clients and conduct intake calls
- Send and track retainers through Clio
- Collect, organize, and maintain client evidence in Dropbox
- Perform follow-up calls and text messages to move matters forward
- Coordinate call handling and routing with Smith.ai and OpenPhone

2. Case Preparation and Investigation Support
- Conduct factual investigations and legal research as assigned
- Locate and identify defendants using PropStream and Spokeo
- Organize client-provided evidence and prepare case materials for the litigation team

3. Service of Process and Court Filings
- Identify defendants for service using research tools
- Coordinate service of process through approved third-party vendors
- Track proofs of service and filing confirmations
- Assist with state and federal court filings through applicable e-filing platforms

4. Administrative and Operational Support
- Maintain accurate data entry in Clio
- Track deadlines and tasks
- Manage file organization and document flow
- Complete special projects as assigned

This role requires strict organization, deadline awareness, and consistent execution. The assistant must work independently within defined systems while collaborating closely with the legal team. Initiative is expected, but confidentiality, discretion, and adherence to process are mandatory.

This is a long-term role for someone who values structure, reliability, and professional boundaries.
