This is not a customer service role.
This is not a sales role.
This is not a “follow instructions only” VA role.

This role exists because overseas factories lie, delay, avoid responsibility, and shift blame — and platforms like Alibaba do not protect buyers.

Your job is to make that behavior impossible through documentation, process, and pressure.

If you are uncomfortable pushing suppliers, documenting failures, or enforcing agreements, do not apply.

The core problem you will solve

We run a U.S.-based custom manufacturing business using overseas suppliers.

Problems we face daily:

Verbal promises with no accountability

Changing timelines

Missing specs or “misunderstandings”

Factories denying responsibility when things go wrong

Your role is to create clarity, records, and consequences so every order has:

Agreed specs

Agreed timelines

Written confirmations

Clear proof when suppliers fail

What you will actually do (this is the job)

This is operations ownership, not task execution.

Order & Supplier Control

Create and maintain a central order system (CRM / tracker)

Ensure every order has:

Final specs approved (sizes, PMS, materials, logos)

Written production timeline

Written shipping deadline

Agreed delivery expectations

Track production status and shipment progress

Follow up aggressively when suppliers stall or avoid answers

Maintain evidence (screenshots, confirmations, messages)

Process & System Building

Help design a simple but strict CRM / order tracker

Google Sheets / Airtable / Notion is acceptable

Each order must show status, risks, and responsibility

Create required checkpoints:

Spec approval

Pre-production confirmation

Production start

Ready-to-ship confirmation

Ensure nothing ships without documented approval

Client Communication

Prepare clear, honest updates when timelines slip

Prevent surprises by escalating early

Never sugarcoat or hide issues

Required experience (non-negotiable)

You must have experience with at least two of the following:

Supplier or vendor coordination

Manufacturing, sourcing, or logistics support

Ecommerce operations (Shopify, WooCommerce, Amazon, etc.)

Order processing with timelines and approvals

Working with overseas suppliers (Asia preferred)

If your background is mainly sales, lead generation, or call-center work, this role is not a fit.

Skills required

Strong written English (clear, firm, professional)

Comfortable pushing back on suppliers

Highly organized and process-driven

Able to think in systems, not just tasks

Calm and structured under pressure

A factory agreed (in writing) to ship by December 10.
It is now December 13.
They say: “We are checking, please wait.”

Answer all three:

Write the exact message you would send to the supplier

Write the update you would send to the client

Compensation

Full-time monthly role

Pay based on ability to operate independently and build systems

Paid test task required before hiring

This role exists to restore control to the buyer.
